We are seeking a detail-oriented and motivated Junior Payroll Clerk to join our Finance team. Reporting to the Payroll Specialist, this entry-level role provides essential support in processing and administering payroll for CAANEO employees. The successful candidate will assist with data entry, timesheet validation, payroll record updates, report generation, and compliance tasks. This is an excellent opportunity to build foundational experience in Canadian payroll practices within a collaborative and supportive environment.

Education & Experience

  • Post-secondary diploma or certificate (completed or in progress) in Accounting, Finance, Business Administration, or a related field.
  • Up to 1 year of experience in payroll, finance, or administrative roles (co-op, internship, or entry-level experience accepted).
  • Interest in obtaining the Payroll Compliance Practitioner (PCP) designation is preferred

Skills & Competencies

  • Basic knowledge of Canadian payroll principles and employment standards.
  • Strong attention to detail and high level of accuracy.
  • Excellent organizational and time management skills.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Familiarity with payroll software such as Ceridian/Dayforce or ADP is an asset.
  • Ability to maintain confidentiality and handle sensitive information with integrity
Responsibilities

Payroll Support & Data Entry

  • Collect and verify employee time and attendance records.
  • Accurately input payroll-related data into payroll systems.
  • Assist with bi-weekly payroll processing under the supervision of the Payroll Specialist.
  • Help process statutory holiday pay, vacation pay, overtime, and other payroll components.
  • Support onboarding and offboarding payroll setup and closures.

Record Management & Administration

  • Maintain and update employee payroll records (personal details, earnings, deductions).
  • Assist with the distribution of pay statements, Records of Employment (ROEs), and year-end tax forms such as T4s.
  • Ensure data accuracy and compliance with federal and provincial payroll regulations.

Benefits and Deductions Assistance

  • Update employee benefit and deduction information in the payroll system.
  • Track and record taxable benefits and allowances.
  • Collaborate with HR to process changes related to employee benefits.

Reporting and Compliance

  • Generate basic payroll reports and summaries for HR and Finance.
  • Support CRA remittances and regulatory reporting in coordination with the Payroll Specialist.
  • Help maintain accurate documentation for audits and compliance reviews.

Process Improvement and Learning

  • Participate in payroll system testing and process improvement initiatives.
  • Stay current with payroll policies and legislation through training and assigned learning.
  • Offer input on ways to enhance payroll accuracy and efficiency.
