PMO SUPPORT ANALYST / JUNIOR PROJECT MANAGER – HYBRID, BALLINA

We have an exciting opportunity for a PMO Support Analyst in Ballina. This hybrid role will involve supporting the PMO and managing smaller projects across multiple business resources, ICT/Data/Design competency areas.
Location: Moy Valley Business Park, Primrose Hill, Ballina, Co. Mayo (Hybrid)

MANDATORY REQUIREMENTS:

  • Experience: Minimum of 3 years’ experience working in a project management role, including managing multidisciplinary teams and applying project management methodologies (preferably Waterfall and Agile).
  • Qualifications: NFQ Level 7 Degree in Computers & IT, Engineering, Science, or Business.
  • English Proficiency: Certificate under Common European Framework of Reference for Languages (CEFR) at C2 Mastery or equivalent.

KEY SKILLS & COMPETENCIES:

  • PMO Support: Experience in maintaining project information, adhering to PMO processes, and compiling data for portfolio management reporting.
  • Financial Management: Strong knowledge of financial tracking and ability to analyse and report on project variances.
  • Project Management Tools: Familiarity with PPM tools and project management software (e.g., Microsoft Project, Jira, Trello).
  • Stakeholder Interaction: Ability to work collaboratively and communicate effectively with various stakeholders at different levels.
  • Project Coordination: Strong administration, organization, and planning skills, with the ability to prioritize tasks and work independently.
Responsibilities

ROLE OVERVIEW:

The PMO Support Analyst will report to the PMO Manager and assist with the delivery of both large technical and business transformation programmes, as well as smaller ‘PMO Lite’ projects. You will play a key role in providing project administrative support, ensuring adherence to PMO processes, and identifying opportunities for improvements.
Your responsibilities will include overseeing project management activities, maintaining project information, managing financials, and supporting the creation of project documentation. You will also coordinate PMO meetings and act as the main point of contact for the Portfolio & Project Management (PPM) tool.

KEY RESPONSIBILITIES:

  • PMO Process Support: Ensure that formal project and PMO processes are adhered to and identify potential improvements.
  • Monitoring & Reporting: Track and report on project risks, quality, and progress, updating the KPI tracker and PPM tool.
  • Project Administration: Assist in the scheduling and preparation of project documentation, managing project folders, and supporting project training material.
  • Financial Coordination: Co-ordinate project financials, maintaining accurate records in the PPM tool and KPI tracker.
  • Stakeholder Communication: Coordinate status reporting from project managers and provide summary reports for senior stakeholders.
  • Project Management: Manage smaller defined projects simultaneously, coordinating schedules, resources, and identifying risks, issues, and dependencies.
  • PPM Tool Management: Oversee the PPM tool, developing dashboards and ensuring user adoption.
