REQUIREMENTS:

  • Post-Secondary Diploma in Business Administration or Hospitality;
  • 2+ years experience in the hotel and/or Event Management industry preferred;
  • Strong computer skills in MS Office, particularly Outlook, Word, and Excel;
  • Excellent communication skills – both verbal and written;
  • Exceptional customer service, follow through, attention to detail and timely responses for clients;
  • Ability to speak, read and write in French is an asset;
  • Self-motivated with ability to work well both in a team and independently;
  • Strong organizational and time management skills with ability to recognize and meet deadlines in a fast-paced work environment;
  • Efficiently multi task and prioritize to manage work load;
  • Interpersonal skills - ability to deal professionally with individuals both internally and externally while resolving issues and meeting objectives and timelines.

Responsibilities
  • Build and maintain trust and relationships with the organization’s existing and future clients, suppliers and partners;
  • Identify and assess client needs to achieve satisfaction, anticipating potential issues before they occur;
  • Research destinations and hotels to source the perfect venue for our clients’ events;
  • Prepare Request For Proposals (RFP) and distribute to selected hotels via CVent;
  • Accurately summarize proposals from hotels, and present to client within a timely manner;
  • Negotiate guestroom rates, meeting space, liabilities etc. with venues;
  • Thoroughly review contracts against an approved list of clauses to ensure a strong and accurate final agreement between the venue and the client;
  • Recognize potential opportunities to up-sell our partnerships or cross-sell our sister company Sandbox Events;
  • Handle client issues, providing appropriate solutions and alternatives within the time limits and following up to ensure resolution;
  • Answer and respond to telephone calls, emails, inquiries, and other requests, often corresponding on behalf of CEO;
  • Regularly and accurately input data and information into company CRM (Salesforce) to ensure thorough records are kept for every client or program worked on;
  • Produce documents, briefing papers, reports and presentations as needed;
  • Occasionally attend site inspections, off site supplier meetings and industry events (this position is associated with little to no travel);
  • Contribute to the company’s overall growth and success;
  • The position will be ever developing as the organization grows.
