UPMC Shadyside Hospital is hiring a Laboratory Administrative Coordinator to join our team on a full-time basis! This is a full-time daylight position, Monday through Friday. Under general direction, the person in this role typically coordinates the workflow of administrative and/or clerical employees and provides varied administrative support of a complex and technical nature to single or multiple department(s) or a division. Responsibilities: Performs all responsibilities of an Administrative Assistant Sr. Plans conferences for department and department head. Develops and sends correspondence on behalf of department and department head (i.e., draft and send meeting minutes, draft and send meeting events). Develops reports for executive or department. Analyzes complex information requests and determines complex trends. Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and ee will draft more material based on initial ideas).Reviews administrative procedures and operating practices and makes recommendations to increase efficiency. May assist with processing of specimens and/or packaging specimens according to testing specifications.May assist in the collection of specimens according to established procedures. Receive, triage, and accession patient materials (specimens, slides, paraffin blocks) into laboratory information system (LIS), adhering to turn around-time deadlines to ensure timely patient results. Checks patient records for accuracy and completeness, taking corrective steps as necessary. Review patient records to determine appropriate consultative pathologist and/or laboratory. Determine patient insurance status and source of consultation to ensure appropriate billing. Transcribe diagnosis and other clinical information into LIS. Make corrections and edits to reports as per pathologist instruction. Participate in training of new staff members. Responsible for administrative support of laboratory resident training program. Assist to coordinate and implement various clinical research projects and special projects to meet division goals. Supports a group of physicians which includes but is not limited to preparing and organizing staff schedules, meetings, calendars of physicians. Coordinates and implements Quality Assurance initiatives in the department. On a day to day basis oversees the administrative staff and reports to supervisor any issues. High school diploma or equivalent 5 years' experience in an increasingly responsible administrative support role. Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software. Ability to use applicable MS Suite products. Advanced knowledge of business processes and procedures. Working knowledge of accounting and financial principles and functions. Ability to analyze data.
