JOB SUMMARY

We are currently looking for two Laboratory Resource Business Coordinators to join our Laboratory Resource Team (LRT) within the Control Testing function in the Science, Research & Innovation group.
These are full-time opportunities, on a 2 years fixed term contract/loan/internal move or temporary promotion basis. The roles will be office based in South Mimms, Hertfordshire. Please be aware that this role can only be worked in the UK and not overseas.
Government departments and agencies are working towards implementing a minimum 60% attendance in office sites. Some roles will need to be on site more regularly. For these roles, occasional/hybrid remote working is possible but there’s expectations that staff will attend site most days, minimal of 3 days a week.

WHO ARE WE LOOKING FOR?

Our successful candidates will have:

  • A good standard of education including English and Maths.
  • Experience in a business support role in a commercial, science-based or medical environment.
  • Knowledge of procurement of goods and services or equivalent relevant experience. Scientific laboratory procurement would be an advantage
  • Teamwork skills and be a team player and quick learner, with good communication and influencing skills.
  • Able to manage a quality service with good organisation and planning skills, attention to detail, service focus, working accurately and precisely, with proactivity and adaptability to changing business needs.

WHAT’S THE ROLE?

The roles will support the day to day running of the scientific functions, assisting the Laboratory Resource Advisors in providing administrative and scientific business support in areas including, but not limited to, ordering of lab goods and services, accounts payable/finance queries and travel bookings. They will advise LRT advisors and managers to help ensure full coverage for the scientific work to be carried out within SRI and will take on duties allocated across the team to cover other activities as needed.
This is a dynamic role with multiple interfaces and a great opportunity to learn new skills and knowledge in various areas. The post holders will be working in a small team (8 staff providing support to 260 plus) expected to be able to multitask with constant interruptions, whilst working centrally in a shared office. All responsibilities are performed in accordance with relevant standing operating procedures, Quality Standard systems and appropriate policies and regulatory guidelines.

KEY RESPONSIBILITIES:

  • Support advisors with day-to-day ordering for the SRI scientific functions, ensuring adequate stocks of equipment and consumables to allow the smooth running of the scientific functions; raising purchase orders and receipting of goods and services within agreed timeframes, liaising with Accounts Payable team on invoice queries to ensure timely payment to suppliers according to policies and procedures.
  • Support advisors with day-to-day travel bookings for the SRI scientific functions, ensuring policies and procedures are followed and deadlines are met, handling confidential and sensitive information
  • Manage the LRT mailbox, triaging, categorising correspondence, alerting colleagues to new messages and actions, filing and maintaining files in mailbox and SharePoint. Collate, log and track a wide range of data in spreadsheets and dashboards to provide meaningful data analysis and information to support the work across the team.
  • Work in compliance with Public Procurement regulation, Agency policies and procedures and Quality Assurance to support the requirements to comply with relevant Quality Systems, namely ISO17025 and ISO9001.
