Arlington County seeks a motivated and highly detailed administrative Court Assistant in the Land Records Division to support a variety of functions related to the recordation of land records and judgments that must be recorded electronically and in paper on-a-daily basis within specific time constraints.
Specific Duties Include:
- Responding to questions by phone, in person, and email from court personnel and the public related to land records and judgment filings;
- Processing land records and judgment documents electronically and in paper to maintain accurate records
- Analyzing complex filings to calculate taxes and fees and to ensure payments are received on behalf of the County and Commonwealth of VA;
- Entering data and collecting payments in an electronic recording system daily related to land records and judgments within specified deadlines;
- Creating multi-faceted daily reports at the close of business, balancing all daily transactions;
- Preparing and issuing court documents, including certified copies, triple seals, and copies of land records and judgments;
- Maintaining a data base related to subscriptions for the land records database;
- Accessing microfilm documents for customers and uploading images into the land records database;
- Working with the Arlington County Print Shop to scan large plats and upload those documents into the Land Records database;
- Facilitating the use of the land records kiosks and providing copies of documents, per customer requests; and
- Managing the storage, retrieval, and duplication on a photocopier of Land Records books weighing 20+lbs which includes carrying for 25 yards or placing on photocopier.
The ideal candidate will be highly detailed and have the following:
- Ability to demonstrate great levels of accuracy to perform the daily work of recordation;
- Experience recording financial transactions in a high pressure, daily deadline environment that demands accuracy;
- The ability to interact with a variety of customers including attorneys, court personnel, and members of the public in person, on the phone, and in e-mails; and
- Excellent communication skills to write customer service emails and serve customers in person to fulfill requests.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent; and
- Some administrative financial support experience such as bookkeeping or retail that includes data entry, monetary transactions, maintaining computerized records preferably in a court or legal environment.
Substitution: Additional education may be substituted for experience.
Desirable: Preference will be given to applicants with one or more of the following:
- Clerical experience in a legal environment related to land transactions;
- Banking experience, particularly front-line teller / customer service experience;
- Familiarity with land records transactions;
- Experience calculating complex fees accurately; and / or
- Data entry and retrieval experience.
