JOB SUMMARY:

The Land & Resource Assistant provides full-time administrative support to the Land and Resource Department. This position plays a key role in ensuring the department runs efficiently by supporting document management, scheduling, booking travel, data entry, communications, and general office administration. The Assistant will help coordinate meetings, maintain records, and support staff in delivering projects and initiatives.

REQUIREMENTS:

  • Grade 12 or equivalent education
  • Post-secondary education or training in office administration is an asset
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong communication and interpersonal skills
  • Experience in an administrative or clerical role preferred
  • Highly organized with attention to detail
  • Ability to work independently and in a team environment
  • Interest in learning about land use, environmental protection, and cultural protocols

Responsibilities
  • Answer phones, emails, and greet visitors in a courteous and professional manner
  • Prepare and format documents, letters, reports, and presentations
  • Schedule and coordinate meetings, field visits, and appointments for Land & Resource staff
  • Book meetings and arrange logistics, including booking venues and catering services as required
  • Maintain filing systems (electronic and paper) for departmental records, permits, and correspondence
  • Assist with minute-taking for internal and external meetings
  • Prepare and distribute meeting agendas, minutes, and related materials
  • Track and assist with submissions for reports, proposals, and funding documents
  • Maintain calendars, booking systems, and inventory of office supplies
  • Book travel arrangements as required (flights, accommodation, ground transport) for staff, contractors, and guests
  • Communicate with contractors, consultants, and partner agencies as directed
  • Input and organize data for projects, environmental monitoring, and traditional land use
  • Help organize community meetings, field logistics, and public notices
  • Follow all administrative, confidentiality, and data protection procedures
  • Perform other administrative tasks as required by Management
