APPLICANT PROFILE

The ideal candidate will have a solid administrative and/or project coordination background, customer service experience and strong IT skills.

We are looking for a professional who enjoys problem-solving and is an independent worker, who will be able to organise tasks and monitor them, acting and revising the plan as needed. Although project coordination is a big part of the role, there is a strong focus on sales, and it is important to acknowledge this component. Therefore, we are looking for someone with excellent customer skills, who will support the growth of our sales, portfolio of clients and services and who will build an outstanding rapport with clients and suppliers.

  • At least 2 years’ experience in a client-facing role, preferably in the Translation industry.
  • Strong IT skills (MS Office and Google sheets).
  • Communication skills: ability to communicate clearly and timely to provide key information for suppliers to complete their tasks effectively and inform clients of the progress of jobs and any arising issues.
  • Self-starter: ability to carry out daily tasks and problem solve independently, escalating issues in a timely manner when needed and following guidelines.
  • Great attention to detail.
  • Strong organisational skills: ability to coordinate multiple jobs concurrently, keeping track of their deadlines, monitoring progress, answering queries from clients and suppliers and keeping documentation up to date.
  • Ability to adapt to changes mid-project, taking the necessary actions and revising plans, and periods in which we tend to get very busy.
  • Proactivity: take initiative, work independently, and bring new ideas to the table.
  • Eligibility to work full-time in the Republic of Ireland. Unfortunately, we will not be able to sponsor a work permit.
Responsibilities

THE ROLE

We are looking for a full-time Language Services Administrator to work alongside other Language Services Administrators, Finance Officers, in-house and freelance linguists, Graphic Designers, and other partners to meet project and sales goals and maintain strong client relationships. The daily tasks include assessing quote inquiries, calculating costs, and issuing quotes, assigning and monitoring approved work, quality-check deliverables and liaising with the team to answer queries and define processes. Many of the tasks we handle are ad-hoc, but there will also be medium and large-sized projects which will require strong organisational skills, especially during the summer months when the pace is faster.

KEY RESPONSIBILITIES

  • Answer client queries via telephone and email.
  • Issue quotes and keep track of the end-to-end cycle of approved jobs (assign the work, scan for potential issues, monitor deadlines and budget, prepare deliverables etc.).
  • Cooperate with in-house and freelance translators, Graphic Designers, and other Language Services Administrators to achieve project goals.
  • Run quality assurance checks on deliverables.
  • Conduct key daily administrative tasks (follow up on quotes, collect payment over the phone, update and maintain documentation).
  • Conduct further administrative tasks when required (approval of POs, check invoices, recruit suppliers etc.).
