Allocate workloads within Documentation team to ensure smooth operations. Ensure OM employee meets company standards of 52 hours training per year. Follow-up new hires training as per company standards. Periodically communicate department goals and expectations with team to ensure buy-in and accountability. Operations: Process shipments in Expeditors transportation system within timeline specified by Ocean Lateral and OPS. Ensure OM Workflows, and other customized reports are monitored to manage exceptions daily. Ensure invoices are billed and sent to customers no later than Tuesday 17:00 after the sailing week. Maintain strong relationships with service providers. Meet compliance at all times. Understand department process flow, constantly looking for areas of improved efficiency. Audit files and work with the team on meeting operating process standards. Customer: Assist the manager and supervisor in timely responding to requests for information. Build and maintaining strong relationships with customers. Participate in the transition of new business / updates to existing business. Assist in retention calls and complete customer reviews with your regular customers to document in the CRM. Join weekly sales meeting. Finance: Proactively work to maintain and monitor invoice payment within terms. Ensure company credit procedures are followed and utilized effectively. Participate in weekly A/R meeting. Compliance: Promote compliance in diligently following all company policies and regulations and in being the role model of integrity and pride for all employees. Proactively communicate with the team to ensure continuous awareness and understanding of policies and regulations. Maintain a positive relationship with the Trade Compliance Manager and support all compliance efforts and trainings. Good Microsoft Office skills (Excel, Word etc.).
