POSITION SUMMARY The Lead Concierge / Administrative Assistant plays a key role in creating a warm, welcoming, and professional environment for residents, families, guests, and team members. This position provides front desk leadership, administrative support to community management, and ensures that concierge and reception operations run smoothly. The ideal candidate is organized, polished, and customer-service driven, with a strong ability to balance administrative tasks and resident engagement. KEY RESPONSIBILITIES Concierge & Customer Service Serve as the first point of contact at the reception desk, greeting and assisting residents, families, visitors, and vendors. Provide exceptional customer service and foster a warm, professional atmosphere. Coordinate resident requests, transportation scheduling, and community information distribution. Supervise and mentor other concierge/reception team members (if applicable). Administrative Support Provide administrative support to the Executive Director and leadership team, including scheduling, correspondence, and recordkeeping. Maintain accurate resident and staff information files. Support billing, invoicing, and data entry processes as directed. Support recruiting efforts and community tours. Community Operations Oversee front desk procedures to ensure consistency in coverage and communication. Manage phone systems, mail, package distribution, and office supplies. Support planning and communication for community events, meetings, and resident engagement activities. Ensure compliance with company policies, confidentiality standards, and resident rights. Requirements CANDIDATE QUALIFICATIONS Education: A high School Diploma or equivalent An associate’s or bachelor’s degree preferred. Experience, Competencies, and Skills: At least two to three (2–3 years) of administrative, hospitality, or senior living experience; leadership or supervisory experience a plus. Strong interpersonal, communication, and organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and others). Ability to multitask, prioritize effectively, and remain calm in a fast-paced environment. Professional demeanor, polished appearance, and strong customer-service orientation. Availability to work flexible shifts, including weekends and holidays as needed. Ability to maintain confidentiality and adhere to ethical standards.
