Job Summary: The Surgery Clerical Support/Scheduling Specialist Lead must be able to exercise superior communication skills and filter a vast amount of information accurately with the ability to interface effectively with patients, physicians, and all other levels within the organization. Makes, schedules, and precertification surgery appointments for patients as well as other activities for physicians including meetings and medical / dental appointments in an efficient and timely manner. The Lead Surgery Clerical Support/Scheduling Specialist will have the following responsibilities: assist with interviewing and recommending new hires; coordinate continuing education for staff and other related projects. This position is involved in a team-based approach to care. Team members are trained to meet the highest level of function for their role as per the State of Tennessee/Georgia guidelines. Is trained and assigned (as per their role and responsibilities) to coordinate care for patients and is trained and assigned to support patients/families/caregivers in self-management, self-efficacy and behavior change. Is trained and assigned (as per their role and responsibilities) to manage the practices� patient population. Participates in the practice's quality improvement process and performance evaluation. Education: Required: High School education Preferred: Prior experience in surgery scheduling. Experience: Required: Three to five years of medical office experience Clerical experience and/or hospital experience desirable. Familiar with Microsoft Word and Excel, with proficient data entry skills. The Lead Surgery Clerical Support/Scheduling Specialist is responsible for assisting with interviewing, recommending new hires; coordinating continuing education for staff and other related projects. 2. Greets patients in a prompt, pleasant and helpful manner, verifying necessary information and records in chart. 3. Schedules, coordinates and reschedules patients� surgical appointments and necessary hospital tests office visits and referrals. 4. Arrange hospital transfers when necessary. 5. Counsel patients regarding financial aspects of surgery. 6. Obtains precerts as needed and notifies admitting office. 7. Collects prepayments on appropriate surgical procedures one week to ten days in advance and handles credit card transactions of prepayments. 8. Maintains and updates current information on physicians� schedules including meetings, vacations, depositions, and luncheons. 9. Relays necessary information regarding schedule to physicians and other staff members. 10. Generates requests for prior approval letters and assists with appeals to insurance companies. 11. Is knowledgeable of hospital operating procedures and practices, particularly as relates to the departments of Surgery, Laboratory and Radiology. 12. Answers questions in person and via phone regarding patient surgical appointments and testing, returning phone messages in a timely manner. 13. Uses personal judgment to resolve routine matters and /or scheduling problems. 14. Attends seminars as necessary for continuing education, keeping updated on current insurance environment and changes in scheduling procedures at hospitals. 15. Coordinates schedule with second surgery scheduler. 16. Obtain updated PCP referral number and verify patient insurance, copying new card, if necessary. 17. Help transport supplies from main office to satellite office as needed. 18. Scanning and indexing all surgery scheduling documents. 19. Coordinates surgery with other primary surgeon offices. 20. Knowledge of medical office procedures including surgery procedures and practices. 21. Knowledge of interrelationship of surgery department with laboratory, radiology, and anesthesia. 22. Skill in answering the telephone in a pleasant and helpful manner. Skills in operating a computer, photocopy machine, facsimile machine, and other office equipment. Ability to speak clearly and concisely. 23. Ability to read, understand, and follow oral and written instructions. Ability to establish and maintain effective working relationships with patients, fellow employees, physicians, and the public.
