Description Sisters of Notre Dame de Namur is a faith-based community dedicated to serving others, with the Ohio Province supporting its mission through prayer, education, justice, and compassionate outreach. We are seeking a highly organized and mission-driven Leadership Team Administrative Assistant to provide high-level administrative and organizational support to the Provincial Leadership Team. This role functions similarly to an Executive Assistant, serving as a trusted partner to leadership by managing schedules, communications, and key initiatives while supporting the seamless coordination of the Province’s mission and leadership priorities. Requirements Key Responsibilities Provide comprehensive administrative and logistical support to the Provincial Leadership Team, including preparation for meetings, assemblies, and board gatherings Draft, edit, and distribute professional, mission-driven communications and correspondence Attend meetings, record and distribute accurate minutes in a timely manner Maintain and update the Province database, ensuring accuracy of member, ministry, and contact information Generate reports and statistics to support leadership decision-making Manage calendars, schedules, and key deadlines for leadership Coordinate and maintain mailing lists, directories, and Province publications Oversee production of the annual Province Directory (target publication: September 1) Prepare forms, reports, and materials for dioceses and other official entities Organize and maintain electronic and physical files in accordance with record-retention guidelines Coordinate event logistics and provide support for major Province events, including: Annual Assembly, Province Chapter, Jubilee Celebrations, Founders Day, Staff events and other gatherings Support internal systems (e.g., First Class), including account setup, training, and liaison with system administrators Submit and track work orders and assist with office operations and facility needs Supervise the Front Desk Receptionist, including training, support, and annual performance reviews Skills and Qualifications Associate’s degree in Business Administration, Communications, or a related field preferred, or an equivalent combination of education and 3–5 years of administrative experience supporting leadership 3–5 years of progressively responsible administrative experience, preferably supporting senior leadership or executives Strong organizational, problem-solving, and project management skills with excellent written and verbal communication High attention to detail with the ability to manage multiple priorities and work both independently and collaboratively Proficiency in Microsoft Office and database systems; experience with communication platforms, intranet, or content management tools preferred Familiarity with the Sisters of Notre Dame de Namur and/or faith-based organizations preferred Why Work for Sisters of Notre Dame de Namur Meaningful work in a supportive, mission-driven environment Competitive pay and benefits package Employer paid Life insurance, Short- and Long-Term Disability Employee Assistance Program (EAP) Eleven (11) paid holidays and double time for holidays worked Generous Paid Time Off Bank Defined contribution retirement plan Annual Performance Reviews with cost-of-living consideration Complimentary meal per shift Access to emergency financial assistance for qualifying hardships
