Description:
POSITION OBJECTIVE
The TACT Administration Officer is responsible for planning, preparing, and overseeing administrative tasks across all aspects of Allambi Care’s external training arm knows as TACT.
The roles primary focus is to support Therapeutic Crisis Intervention training, as well as assist with both internal and external training requirements. This includes client support, registrations, procurement, scheduling, organising, and facilitating training materials, travel arrangements, and financial processes.
This role will utilise strong organisational, time management, and communication skills to manage multiple tasks or requests simultaneously and accurately. In carrying out these responsibilities, the officer will uphold and adhere to Allambi Care’s core values and beliefs.
Responsibilities:
MAIN TACT DUTIES
- Support and maintain administrative systems, including task management tools, scheduled meetings, and performance monitoring.
- Manage communication channels, such as phone calls, emails, and enquiries, ensuring professional interactions and appropriate follow-ups.
- Perform general administrative tasks, including document management, data entry, and report generation.
- Maintain and update databases, websites, contracts, and records of accredited trainers.
- Coordinate stocktakes, procurement, and logistics, including courier services and freight.
- Ensure compliance with organisational and external standards, including quality control and documentation for governing bodies.
- Oversee financial processes, including account checks, payment follow-ups, and expenditure reporting.
- Adhere to established organisational processes, policies, and procedures to ensure consistency and operational efficiency.
ADDITIONAL TRAINING DUTIES
The Learning and Development Tact Administration Officer will be responsible for tasks associated with TACT’S external training. These include however are not limited to;
- Arrange logistics (venue, travel, accommodation) within budget.
- Coordinate room setup, catering, and pre-course materials.
- Confirm participant details and expectations
- Prepare and ship training materials and manage payments.
- Provide support to trainers as needed.
- Manage records, and update certifications.
- Complete reporting and financial audits.
OTHER SUPPORT TASKS FOR ALLAMBI CARE
The TACT Administration Officer will collaborate with the Learning and Development team to provide additional support across the organisation as needed, particularly during peak periods. This may involve assisting with various administrative and training-related tasks to ensure smooth operations and continuity of services.
