Description Learning & Public Engagement Coordinator Department: Learning & Public Engagement Supervisor: Rebecca Turk Supervises: N/A FLSA Salary Classification: Part-time, non-exempt Revision Date: April 2026 Availability: Standard work hours, including occasional evenings. Position Summary: The Learning & Public Engagement Coordinator provides administrative, coordination, data analysis, and grant tracking support to ensure the department operates efficiently and remains aligned with strategic goals. This role collaborates closely with education, exhibits, and volunteer services teams while supporting communication across Garden departments. Essential Functions: Provide high-level administrative support with strong organization, prioritization, and attention to detail in a fast-paced environment. Process, review, and submit department receipts and invoices in accordance with organizational procedures. Track and manage grant budgets and reporting in coordination with the VP of Learning & Public Engagement and the Grants Administrator. Support education programs through communication, coordination, and tuition processing. Create agendas, record meeting minutes, and distribute action items. Proactively identify and resolve issues, demonstrating strong problem-solving and follow-through. Perform administrative tasks including data entry and analysis, document creation, correspondence, and research on industry trends. Submit monthly attendance data and serve as the department's liaison for DataRails. Maintain confidentiality of sensitive information and prepare professional reports, presentations, and correspondence. Manage incoming communications, prioritize appropriately, and route to relevant stakeholders. Assist with Galaxy of Lights administrative tasks, working occasional evenings as needed. Perform additional duties as assigned. Requirements Minimum Qualifications: High School Diploma and 2+ years of relevant administrative experience with demonstrated acumen for business processes, utilizing MS Office Suite, with emphasis on Word, PowerPoint, Excel, and OneDrive or an equivalent combination there of. Success Factors: Demonstrates alignment with Huntsville Botanical Garden’s mission and core values. Strong organizational skills with the ability to prioritize and meet deadlines. Effective written and verbal communication skills. Proficiency in Microsoft Office 365 and adaptability to new systems. Strong judgment, problem-solving, and decision-making abilities. Excellent interpersonal and customer service skills. Preferred Qualifications: Bachelor’s degree or equivalent certification in business administration or related field and 2+ years of relevant administrative experience with demonstrated acumen for business processes, utilizing MS Office Suite and familiarity with project management tools. Physical Requirements: The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical Demands: Requires occasional physical activity, occasional lifting and carrying (up to 30 lbs.), occasional walking over varied terrain, climbing stairs and ladders, stooping, squatting and traveling by vehicles. Occasional off-site travel required. Work Environment: Primarily office environment with occasional outdoor involvement. Equipment: General office equipment, two-way radio, copy machine, and golf cart.
