For more information, visit mSupply.com [http://www.msupply.com/].  Job Summary   The Lease Administrator will ensure accurate lease data, timely execution of critical dates, and seamless coordination between landlords, legal, finance, and branch operations. The ideal candidate is detail-driven, highly organized, and comfortable operating in a fast-paced, multi-location environment where accuracy directly impacts operating costs and business continuity.   Job Duties & Responsibilities   Lease Management & Compliance * Maintain the complete portfolio of 160+ leases, amendments, renewals, and related documents. * Track and manage all critical dates (renewals, expirations, rent escalations, options, termination windows). * Ensure compliance with lease terms, including insurance requirements, maintenance obligations, and reporting. * Review leases for accuracy and alignment with company standards before execution. Financial Administration * Validate rent schedules, CAM charges, tax assessments, and other landlord billings. * Partner with Accounts Payable to ensure timely and accurate rent payments. * Reconcile annual CAM/tax reconciliations and dispute discrepancies when necessary. * Support budgeting and forecasting for occupancy costs across all locations. Cross-Functional Coordination * Coordinate with landlords, property managers, and internal stakeholders. * Collaborate with Legal on lease language, amendments, and compliance issues. * Support internal stakeholders to resolve property-related issues impacting branches. * Support Real Estate leadership with site selection, relocations, closures, and renewals. Data Management & Reporting * Maintain accurate lease data in the company’s lease management system. * Generate regular reports on lease status, upcoming renewals, occupancy costs, and portfolio trends. * Ensure documentation is organized, accessible, and audit-ready.   Qualifications   Required * 3–5+ years of lease administration experience. * Bachelor’s degree in Business Administration, Legal or relevant experience. * Strong understanding of commercial lease structures. * Proficiency with lease administration software and Microsoft Excel. * Exceptional attention to detail and ability to manage high volumes of data. * Strong communication skills. * Demonstrates strong analytical accuracy with the ability to interpret data and ensure precise, detail-oriented outputs. * Effectively organizes and prioritizes multiple tasks and deadlines in a fast-paced environment. * Applies critical thinking and problem-solving skills to identify issues and implement practical solutions. * Collaborates cross-functionally to drive alignment, communication, and successful execution of initiatives. * Exercises sound judgment and maintains strict confidentiality when handling sensitive information.
