Are you an organized and compassionate professional with expertise in employee leave management? Edmonton Catholic Schools is seeking a dedicated Leave Specialist to support employees throughout their leave journey and off-boarding with accuracy and care.
In this critical role, you will manage leave requests, maintain accurate records, and ensure compliance with company policies, labor agreements, vendor contracts, and applicable regulations. You will also handle confidential information with discretion, provide guidance to employees, and collaborate with internal and external partners to facilitate a smooth leave of absence and off-boarding process.

This position is eligible for a hybrid work schedule and is based out of Lumen Christi Catholic Education Centre (Capilano) and travel to Division sites within Edmonton is required.

QUALIFICATIONS

Post-secondary diploma Office Administration, Human Resources, or another related field.
3-5 years of experience working in Human Resources and administering Human Resources data, workflow or records-management.
Alternate equivalencies of education and experience may be considered.

Knowledge

  • Familiarity with PeopleSoft and At Work Care disability management system is preferred.
  • Understanding of employment standards, leave-related provincial legislation, collective bargaining agreements, third-party benefit contracts, and internal guidelines and policies.
  • Knowledge of compliance regulations and best practices in leave management.
  • Knowledge of Freedom of Information and Protection of Privacy (FOIP) legislation and records management principles.
  • Awareness of workplace safety and Occupational Health and Safety Regulations

Responsibilities

Manage Employee Leave Records & Programs

  • Accurately add, update, and maintain employee leave records in organizational systems
  • Conduct audits of leave records to ensure accuracy and address discrepancies.
  • Monitor leave timelines and waiting periods to ensure compliance with policies.
  • Ensure timely and accurate record-keeping to support organizational compliance and employee satisfaction.
  • Communicate with employees about leave processes, guidelines, approvals, denials, and available support.
  • Develop and distribute documentation, such as maternity leave forms and top-up details.
  • Collaborate with other HR teams to ensure accurate and timely service delivery

Manage Disability Management Records

  • Accurately add, update, and maintain employee records related to medical leaves and personal illness in organizational systems
  • Collaborate with Employee Health Services colleagues to facilitate medical leaves of absences and long-term disability applications.
  • Offer clear and empathetic guidance to employees, ensuring they understand their benefits and compensation during leave.

Communication and Administration

  • Draft letters and documentation for employees regarding leaves, resignations, benefits, and retirements
  • Prepare information and documentation to support collective bargaining processes
  • Assist in developing training materials and conducting sessions for leaders and employees on leave-related processes as required.
  • Create and maintain documentation that addresses common employee inquiries regarding leave types, processes, eligibility, and implications for benefits.
