Overview:
McGuireWoods LLP has a Practice Administrative Assistant opening in our New York office that will provide high level administrative support to Practice Assistants, Paralegals and Attorneys as needed on a day-to-day basis or on special projects. The ideal candidate will be able to adapt quickly, have strong administrative and organizational skills, demonstrate a high level of professionalism, and will be comfortable working with technology.

Responsibilities:

  • Perform administrative tasks such as answering phones, arranging meetings/calls as directed, making travel arrangements, entering attorney time into time management system, and managing calendars.
  • File case documents, retrieve case files, and prepare files for closing in accordance with Records Department procedures.
  • Prepare material for overnight/mail service deliveries.
  • Search, save, and review electronic files/emails; circulate to appropriate parties per instructions.
  • Handle payment of matter related invoices and Attorney expense reports via ChromeRiver.

Qualifications:

  • High school diploma or GED required, or an equivalent combination of education and experience.
  • Demonstrated ability to quickly learn and adapt to new technologies.
  • Excellent communication skills, with the ability to manage relationships effectively and work as part of a team.
  • Ability to think clearly, react positively and evaluate situations to determine appropriate action and act decisively under pressure.
  • Highly organized with strong proofreading skills.
