POSITION SUMMARY

This role will focus on managing zip code and territory transfers, document organization, Franconnect system administration, event coordination for monthly Orientation and Lab sessions, and other critical support functions. The ideal candidate is highly organized, comfortable with technology (e.g., SharePoint, Franconnect), and capable of juggling multiple priorities in a fast-paced environment. This position offers the opportunity to take ownership of key processes and contribute to the efficiency of our operations.

QUALIFICATIONS/SKILLS/EDUCATIONAL REQUIREMENTS

  • 2+ years of administrative experience, preferably in a legal, operations, or project support role. Experience with Franconnect, SharePoint, or similar systems preferred.
  • Strong organizational and multitasking abilities with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and willingness to learn new software.
  • Excellent written and verbal communication skills for drafting notices, emails, and reports.
  • Ability to manage sensitive and confidential information with discretion.
  • Proactive problem-solver, comfortable working independently and collaboratively, and adaptable to shifting priorities.
  • High school diploma required; associate or bachelor’s degree preferred.
Responsibilities

ESSENTIAL FUNCTIONS

Legal and Administrative Support

  • Assist with zip code and territory transfers (swaps), including drafting notices and performing administrative tasks such as printing, mailing, and mail drops.
  • Collect, organize, and upload documents to SharePoint for transfers, ensuring all necessary documentation is complete prior to drafting.
  • Manage LLC transfers from individual signers to entity ownership.
  • Support AR marketing agreements by offloading related administrative tasks.

Franconnect System Administration

  • Create and duplicate new IDs and regions as needed.
  • Complete transfers and terminations within Franconnect.
  • Mark centers as open and ensure accurate status updates.
  • Generate, export, and send weekly reports to various departments upon request.
  • Conduct monthly data scrubs to ensure accuracy and completeness, with an immediate focus on a territory scrub (Buxton vs. Franconnect).
  • Organize, update, and track transfers, renewal, and extensions within the system.
  • Lead a comprehensive audit of Franconnect information and documents

Orientation and Lab Coordination

  • Send confirmation to all attendees, including vendors, and update the agenda.
  • Prepare and distribute reminder emails to HQ attendees.
  • Create name badges and table tents for participants.
  • Maintain branded product (swag) inventory ensuring sufficient stock.
  • Order food for Mon – Fri sessions, serve as point of contact for food allergies and dietary needs.
  • Print materials, ensure all hardware is charged (i.e. clickers), and update/download presentation slides.
  • Send follow-up surveys to attendees post-event.

ADDITIONAL DUTIES

  • Potentially assist with Royalty Manager tasks, such as pulling reports for team members.
  • Provide general administrative support to legal and operations teams as needed.
