We’re seeking a detail-oriented and proactive professional who thrives in a collaborative environment and brings a strong service mindset to the legal function.

QUALIFICATIONS & SKILLS:

  • 3+ years of experience in a legal administrator, executive assistant, or legal support role—ideally within an in-house legal department or corporate setting.
  • Certificate or diploma in Legal Administration, Office Administration, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with legal databases, CORES, SEDAR, or SEDI filings is an asset.
  • Applicants appointed as Notary Public may be given preference.
  • Experience supporting board/committee processes or compliance teams is a plus.
  • Strong written and verbal communication skills.
  • High attention to detail and organizational skills.
  • Ability to prioritize and manage multiple deadlines.
  • Discreet, professional, and comfortable handling confidential or sensitive information.
  • Collaborative and responsive, with a strong ability to support cross-functional teams.
Responsibilities
  • Provide comprehensive administrative support to the Legal, Compliance, and Accounting functions.
  • Draft, format, proofread, and finalize legal correspondence and documentation.
  • Manage document workflows and ensure proper tracking, version control, and filing.
  • Coordinate approvals, and signatures, as needed.
  • Organize and maintain both physical and electronic legal files, including corporate records and minute books..
  • Managing legal trackers, signature folders, contract logs, and filing calendars.
  • Liaise with other departments to support regulatory and legal document requirements (e.g., Land, Operations, Accounting).
  • Maintain confidentiality of sensitive materials and ensure compliance with internal policies and procedures.
  • Provide administrative coverage for legal, accounting and other administrative team members as needed.
