JOB SUMMARY

We are looking for a highly organised and detail-focused Legal Administrator to join our legal team. This is a key support role, responsible for ensuring that solicitors and fee earners are able to focus on delivering legal services by providing comprehensive administrative and case management support. The Legal Administrator will play an integral part in managing documentation, maintaining systems, and facilitating effective communication between clients, colleagues, and external parties.

SKILLS

  • Proven experience in an administrative or legal support role, ideally within a law firm or professional services environment.
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Strong written skills, particularly for minute-taking, document drafting, and correspondence.
  • Confident IT user with proficiency in Microsoft Office (Word, Excel, Outlook) and experience using case management systems.
  • High level of accuracy and attention to detail in all aspects of work.
  • Professional communication skills with the ability to liaise effectively with clients, colleagues, and external parties.
  • Fluency in Mandarin/Cantonese

Responsibilities
  • Attend internal and client meetings, produce accurate and well-structured minutes, circulate them promptly, and maintain a clear record of agreed actions and deadlines.
  • Update and maintain case management databases, ensuring all correspondence, key dates, and case milestones are recorded accurately; generate reports for monitoring progress and deadlines
  • Coordinate schedules for solicitors and fee earners, book appointments and hearings, and track deadlines to support smooth case progression.
  • Manage office administration tasks such as scanning, photocopying, and formatting documents; support billing processes by preparing fee notes.
  • Prepare routine client care letters, handle incoming enquires ensure a professional and courteous standard of communication is maintained at all times.
