SUMMARY
As a Legal Archivist and Completion Administrator, you will be essential in managing and organizing legal documents and archives, ensuring compliance and accessibility. Reporting to the Directors, your role requires strong organizational skills and proficiency in Microsoft Office applications, including Outlook and Word. Your premium analysis skills will aid in evaluating documentation processes, while your core customer service and administrative experience will enhance collaboration within the team. Effective time management and communication skills are vital for meeting deadlines and supporting the overall efficiency of the legal operations.
Key Responsibilities:
- Keeping a clear and detailed record of ALL documents in archive, their purpose and their date for destruction
- Systematically destroying data in archive as per archive record and GDPR guidance
- Responsible for providing an accurate and efficient post completions service to the business on a range of files, including Purchase, Remortgage, Sale and Transfers of Equity
- Carry out the processing and submitting registrations and changes to HM Land Registry, conducting Stamp Duty Land Tax returns, following up on mortgage redemptions, checking and renewing searches
- Administrative tasks including scanning, dealing with original documentation, archiving and discharging
- Sending updated Title Registers and Title Deeds to clients, mortgage lenders and any other parties who require them
- Follow and comply with set procedures and service level agreements
- Ensure that clients are dealt with efficiently, professionally and politely
- Communication with HM Land Registry, HMRC, Welsh revenue authority, clients and other 3rd parties including solicitors and managing agents both on the telephone, email and in written correspondence
Candidate Criteria:
- The Archiving elements are physically demanding you will need to be able to carry files from our main office to our archive which is 80meters away as well as preparing sacks for destruction.
- Not suitable for people suffering from claustrophobia due to the nature of the archive building

9.00am to 5.00pm with 1 hour unpaid lunch break (35hrs per week)
