LEGAL ASSISTANT AND OFFICE MANAGER – COMMERCIAL LITIGATION AND EMPLOYMENT LAW

Job Description:
We are seeking a highly organized and motivated individual to join our team as a Legal Assistant and Office Manager. This dual-role position is ideal for someone who thrives in a fast-paced legal environment and is passionate about providing exceptional administrative and litigation support.
Responsibilities:
Legal Assistant Duties:
- Manage and organize case file documents.
- Monitor court deadlines and ensure timely submission of all filings.
- Draft correspondence, memos, affidavits of documents, motion records and other legal documents under the supervision of our lawyers.
- Coordinate with clients and opposing counsel to schedule meetings, discoveries, and court appearances.
Office Manager Duties:
- Oversee the day-to-day operations of the office, ensuring a smooth and efficient workflow.
- Handle incoming calls, emails, and correspondence, directing them to the appropriate parties.
- Maintain and update the firm’s calendar, including court dates, meetings, and deadlines.
- Assist with billing, invoicing, and financial record-keeping.
- Implement and improve office policies and procedures to enhance productivity.
- Provide general administrative support to our lawyers.
Qualifications:
- Minimum of 3 years of experience as a legal assistant.
- Proven experience in office management or administrative coordination.
- Strong knowledge of legal terminology, court procedures, and filing requirements.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat Pro
- Experience in using Cosmolex accounting platform and Clio case management software a definite asset.
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Exceptional written and verbal communication skills.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team in a fast-paced environment.
- A positive attitude, strong work ethic, and commitment to professionalism.
