LEGAL ASSISTANT AND OFFICE MANAGER – COMMERCIAL LITIGATION AND EMPLOYMENT LAW

Job Description:
We are seeking a highly organized and motivated individual to join our team as a Legal Assistant and Office Manager. This dual-role position is ideal for someone who thrives in a fast-paced legal environment and is passionate about providing exceptional administrative and litigation support.
Responsibilities:

Legal Assistant Duties:

  • Manage and organize case file documents.
  • Monitor court deadlines and ensure timely submission of all filings.
  • Draft correspondence, memos, affidavits of documents, motion records and other legal documents under the supervision of our lawyers.
  • Coordinate with clients and opposing counsel to schedule meetings, discoveries, and court appearances.

Office Manager Duties:

  • Oversee the day-to-day operations of the office, ensuring a smooth and efficient workflow.
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate parties.
  • Maintain and update the firm’s calendar, including court dates, meetings, and deadlines.
  • Assist with billing, invoicing, and financial record-keeping.
  • Implement and improve office policies and procedures to enhance productivity.
  • Provide general administrative support to our lawyers.

Qualifications:

  • Minimum of 3 years of experience as a legal assistant.
  • Proven experience in office management or administrative coordination.
  • Strong knowledge of legal terminology, court procedures, and filing requirements.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat Pro
  • Experience in using Cosmolex accounting platform and Clio case management software a definite asset.
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Exceptional written and verbal communication skills.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • A positive attitude, strong work ethic, and commitment to professionalism.
