SPECIALIST SKILLS:

  • Excellent IT skills, especially Word (knowledge of PowerPoint and Excel is beneficial).
  • Experience with Practice Management Systems is a plus.
  • Strong telephone skills and customer service.

PERSONAL SKILLS:

  • Strong interest in legal matters and understanding of confidentiality.
  • Well-organized, conscientious, and detail-oriented.
  • Ability to work both independently and as part of a team.
  • Excellent time management skills with the ability to meet deadlines.
  • Clear communication skills, both spoken and written, with a strong grasp of grammar, spelling, and punctuation.
  • Good social skills, including tact, patience, and persuasiveness.

QUALIFICATIONS:

  • Good standard of general education, particularly in English.
  • Numerate and literate.
  • Word processing skills or relevant qualifications.
  • Training as a legal secretary or a relevant qualification is highly desirable.
Responsibilities
  • Ensure the smooth flow of documents and correspondence in and out of the department.
  • Type legal documents from handwritten notes or digital dictation.
  • Scan, email, and fax correspondence and documents as required.
  • Manage files including opening and closing files and filing relevant documents.
  • Prepare photocopies, including trial bundles.
  • Handle routine phone calls, new enquiries, and messages.
  • Manage Fee Earners’ diaries, organizing internal and external meetings.
  • Provide support to other secretaries within the department or across the firm, covering workload during busy periods or when fee earners are absent.
  • Undertake any reasonable duties as assigned.
