QUALIFICATIONS & EXPERIENCE
Required:
· High school diploma
· Post secondary diploma or certificate in office administration, legal assistant work, or other relevant qualifications or equivalent work experience
· Proven working experience as an administrative assistant, legal assistant or legal secretary in a law firm or government department
· Knowledge of day-to-day operations of a legal office
· Computer literacy
· Strong knowledge of Microsoft Office, including Word, Excel and Outlook
· Detail orientated and highly organized
· Ability to manage multiple activities and work under pressure
· Excellent verbal and written communication skills with a professional demeanor
· Ability to work independently, manage large workloads, and keep deadlines
· Team player, who works well with others
· Ability to take direction from the lawyer, and ask for help from others as and when needed
· Proficiency in English
Desired:
· Knowledge of Provincial Court and Supreme Court of British Columbia procedures and forms
· Experience working with criminal and child protection law files
· Experience using Clio practice management software and Sync document management software
· Provide administrative support to the lawyer and enhance office effectiveness
· Monitor deadlines and manage calendars
· Manage, organize and maintain documents in paper and electronic filing systems
· Keep cases organized by opening, closing and organizing files, documenting actions, inputting information into case management software, scanning documents
· Maintain contact lists in the firm’s case management software
· Draft and proofread routine correspondence and legal documents
· Transmit legal correspondence and documents to clients, witnesses and court officials by electronic filing, mail, fax or email
· Administratively support court proceedings by organizing evidence, preparing exhibits, photocopying, scheduling witnesses, ensuring witnesses are ready when needed
· Keep the firm’s clients and its work confidential
· Complete conflict of interest checks for all prospective clients
· Communicate with opposing counsel, other parties, clients, court administrative staff and vendors
· Receive calls forwarded from the firm’s receptionist
· Schedule meetings, witness interviews, and court proceedings, including hearings and trials
· Keep clients informed of case progress
· Manage client billing by preparing draft bills and sending out bills once finalized by the lawyer
· Working in cooperation with the firm’s bookkeeper and accountants to support the bookkeeping and accounting practices of the firm
