JOB OVERVIEW

We are seeking a detail-oriented and professional Legal Receptionist to join our team on a part time basis. This role is essential in providing administrative support and ensuring the smooth operation of our legal office. The ideal candidate will have some litigation legal assisstant experience, or show some interest in assissting one lawyer with a litigation practice. We are seeking a candidate with strong organizational skills, phone etiquette, and a welcoming demeanour. As the first point of contact for clients and visitors, you will play a crucial role in maintaining a welcoming environment while managing various clerical tasks efficiently.
Our preference is for minimum in-office hours Monday, Wednesday and Friday from 10 am - 2 pm, with flexibility to work remotely for the remainder of working hours.

REQUIREMENTS

  • Legal assisstant diploma preferred, or at least 5 years work experience in a law office.
  • Administrative experience in a legal setting is preferred.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent writing skills with attention to detail for proofreading and legal drafting tasks.
  • Proficient in data entry with a high level of accuracy.
  • Ability to work collaboratively within a team environment while also being self-motivated.
  • Strong project management skills to assist in coordinating various tasks effectively.
    Our firm is made up of 3 female lawyers and 2 female paralegals, all of whom work a hybrid in-office and remote schedule.

    Pay: $25.00-$32.00 per hour

Responsibilities
  • Greet clients and visitors warmly, ensuring a professional and welcoming atmosphere.
  • Manage incoming calls, directing them to the appropriate personnel while maintaining excellent phone etiquette.
  • Perform data entry tasks accurately, including updating client information and case files.
  • Assist with filing documents, maintaining organized records for easy retrieval.
  • Send and recevie mail.
  • Proofread legal documents for accuracy and completeness before submission.
  • Utilize software such as CLIO for document management.
  • Support project management efforts by coordinating schedules, meetings, and deadlines for legal staff.
  • Draft correspondence and other written materials with clarity and professionalism. .
