JOB SUMMARY

We are seeking a detail-oriented and organized Legal Receptionist to join the legal team. The ideal candidate will serve as the first point of contact for clients and visitors, providing exceptional client care while managing a variety of administrative tasks. This role requires strong communication skills, proficiency in legal terminology, and the ability to handle multiple tasks efficiently in a fast-paced environment.

QUALIFICATIONS

  • Previous administrative experience in a legal setting is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in using LexisNexis for legal research is a plus.
  • Familiarity with legal drafting processes and terminology is beneficial.
  • Excellent proofreading skills to ensure high-quality documentation.
  • Ability to work independently as well as collaboratively within a team environment.
  • Strong clerical skills, including filing and data management experience.
  • Effective communication skills, both verbal and written, are essential. With an ability to be patient, empathetic and caring with clients.

Responsibilities
  • Greet clients and visitors warmly, ensuring a professional and welcoming atmosphere.
  • Manage incoming calls with excellent phone etiquette, directing calls to appropriate personnel.
  • Complete conflict check process from beginning to end including tracking
  • Perform data entry and maintain accurate client records within legal software.
  • Assist with filing, organizing documents, and maintaining the office’s clerical systems.
  • Conduct research as needed to support legal staff in case preparation.
  • Proofread legal documents for accuracy and clarity before submission.
  • Draft correspondence and other written materials with strong writing skills.
  • Assist lawyer with interviewing clients and gathering necessary information for cases.
  • Maintain confidentiality of sensitive information in compliance with legal standards.
  • Confidence to ask questions and the ability to utilize the information provided; and
  • Willingness to learn
