This individual will ensure that clients have an exceptionally positive experience when working with our organization. This role is highly visible, often serving as the first point of contact between Saxton & Stump and clients visiting or calling our offices. The selected candidate will have a significant impact on the overall client experience and the perception of our brand. A portion of time will be dedicated to administrative support for the firm’s attorneys. Responsibilities Concierge and Administrative tasks Front desk and reception duties, greet clients and visitors with a smile and ensure five-star hospitality is provided during the visit. Assist with scheduling conference rooms and communicating effectively with all team members to ensure schedule coordination. Provide legal administrative support to include expense reports, uploading legal documents and records to iManage (electronic filing system), document preparation, assembly of workbooks, scheduling support for trial preparation, drafting correspondence and emails and other administrative tasks as assigned Place catering orders for food, beverages, and refreshments as necessary and set up/clean up meeting rooms accordingly. Prepare all meeting rooms with proper equipment, technology, and accessories. Provide overall office management, such as ordering office supplies and maintaining public spaces, including conference rooms, lobby, and breakroom. Handle file maintenance, including file room organization, closing, and thinning files, and coordinating off-site storage. Prepare files for offsite storage, which includes thinning, properly documenting, and arranging for pickup and delivery to Iron Mountain. Answer and direct incoming calls on a multi-line phone system and assist with responding to inquiries. Support for events and firm functions as needed. Other duties as assigned. Skills/Experience High energy and genuine enthusiasm for achieving five-star internal and external client service, with a spirit to serve. Demonstrate the ability to think strategically, anticipate work needs and find solutions to overcome obstacles independently. Tech-savvy with the ability to learn new systems and processes quickly. Demonstrated ability to communicate confidently and collaborate with individuals at all levels of the organization. Requirements Qualifications/Requirements 1-3 years of experience in a legal environment is preferred, and entry-level applicants are welcome. Ability to be flexible to the needs of the firm based on Events may require some evenings and weekend hours at times.
