JOB DESCRIPTION:

DPQC Law is looking to add to our Gasoline Alley team! We are a modern high-tech workplace and are looking to grow our innovative team.
We are looking to add a mid-level/senior solicitor’s assistant for our Gasoline Alley office to assist with wills, estates and corporate files (primarily), with a bit of real estate occasionally to cover closings when the primary real estate assistant is away.
The workload is approximately 50% Wills/Estate Planning, 25% Estate Administration/Probate and 25% Corporate Files (maintenance, transactions etc). These practice areas are fast growing and this division may shift over time.
Our firm prides itself on pushing the limits as we try to become paperless (which is challenging in the Wills/estate administration areas, but its coming along) and offers an excellent working environment, benefits and the opportunity for advancement (including future remote/WFH options). This role requires a detail oriented, self-motivated individual who is highly organized, and able to work in a fast-paced environment with minimal supervision. This individual will be able to provide a criminal record check should an interview be scheduled.

QUALIFICATIONS AND SKILLS:

  • 5+ years of legal assistant experience in a solicitor environment
  • Legal Assistant diploma from a recognized institution
  • Experience in will drafts, SDS filing, probate, Cores & Corporate Maintenance
  • Ability to work with a remote team and remote clients.
  • Highly knowledgeable with Microsoft 365 programs (we are a cloud based firm using Sharepoint), Adobe/Acrobat Pro, Zoom communications and legal accounting (e.g. Esilaw/Unity Accounting).
  • Drafting routine correspondence and memos.
  • Strong written and verbal communication skills
  • Excellent proofreading, grammar, and editing abilities
  • High attention to detail and ability to meet deadlines
  • Professional demeanor and ability to work independently
  • Have an enthusiastic, positive, friendly, customer-focused and approachable attitude
  • Reliable, flexible and resilient
  • Must be able to work in a fast-paced environment
  • Must be able to switch easily between job priorities as assigned and work independently as well as part of a team

Responsibilities
  • Assisting with the preparation and review of legal documents; wills, estates and corporate files (primarily), with a bit of real estate occasionally to cover closings when the primary real estate assistant is away.
  • General records management of a complex filing system by ordering, receiving, sorting, and distributing office files and documents, updating files and records, and purging documents as needed.
  • Responsible for answering the phone, establishing reason for calling, and contacting the appropriate person that can help the caller.
  • Greeting clients and visitors in a friendly and professional manner.
  • Other tasks and errands as required.
