Responsibilities

We are looking for a proactive and confident Legal Assistant who has good communication skills, an excellent command of the English language and organisation skills to assist our legalisation and notarial departments. Proficiency in Spanish and/or Italian is an advantage for this role.
Your responsibilities will include, but are not limited to, all reception duties including answering the telephone, greeting clients, responding to email enquiries, Liaising with foreign consulates/embassies and the UK Foreign, Commonwealth and Development Office (FCDO), dealing with incoming and outgoing post, preparing documents for our solicitors and notaries, liaise with our solicitors and notary partners. Previous experience in an administrative role and a confident telephone manner is a a great advantage.

In this fast-paced office, you will also be expected to assist the team and the Director with a number of admin duties, including:

  • operating our CRM system;
  • Making appointments;
  • drafting and checking documents;
  • liaising with our regular and prospective clients;
  • liaising with our translators and other service providers;
  • Prioritising and managing workload effectively;
  • photocopying and scanning;
  • downloading and sharing electronic files;
  • booking couriers and Royal Mail;
  • additional ad hoc duties, as required.
  • Essential:

  • excellent writing skills;
  • ability to deal with calls and instructions effectively and efficiently
  • ability to manage and prioritise work effectively;
  • ability to obtain relevant information from all callers and answer their queries directly or refer as appropriate;
  • excellent computing skills and have a working knowledge of Microsoft Outlook, Word and Excel.
