Description Organizational Overview The ACLU of Indiana is a nonpartisan organization dedicated to protecting and expanding civil liberties and civil rights across the state. Position Summary The Intake Coordinator is responsible for ensuring that all requests for legal assistance received by the ACLU of Indiana are accurately processed, tracked, and routed for review in a timely manner. This role is central to the organization’s intake operation and supports the Legal Department through consistent execution of intake workflows, correspondence processing, and administrative support. KEY RESPONSIBILITIES Processing Requests for Assistance Open, date-stamp, and sort incoming mail by complainant or client type. Scan and upload correspondence into the intake database and organize files in accordance with retention requirements. Process out-of-batch correspondence, Department of Corrections responses, tort returns, and returned mail. Upload electronic intake submissions and intake-related email correspondence into the database. Preparing Intake Summaries Prepare intake summaries for letters assigned by the Senior Litigation Support Specialist. Compile intake batches and queues for attorney review. Preparing and Mailing Attorney Responses Generate attorney response letters using approved batch reports and templates. Confirm inclusion of all required enclosures and attachments. Print, assemble, and mail correspondence with appropriate postage. Administrative Support File intake correspondence and active retainer documents. Create and maintain active retainer files. Provide administrative and clerical support to attorneys and the Litigation Support Manager as needed. Special Projects Supports special legal operations projects by streamlining workflows, ensuring accessible and organized record keeping, and modernizing internal processes to improve efficiency, consistency, and overall legal team effectiveness. Qualifications High school diploma or equivalent. 1-2 years of administrative support experience with database management. Strong attention to detail and organizational skills. Ability to manage repetitive, deadline-driven tasks with consistency and accuracy. Proficiency with Windows-based computer systems and standard office technology. Ability to work collaboratively and professionally with individuals from diverse backgrounds. Commitment to the mission and values of the ACLU.
