Description Pender & Coward, P.C. is looking for a meticulous, conscientious, and reliable Office Assistant to join our team, part-time or full-time at our office in Suffolk, Virginia. This position is in the office; remote work is not available. The position requires working until 5:30pm Monday – Friday, start time is flexible. Responsibilities • Greet and welcome each visitor in a friendly and professional manner. • Answer incoming phone calls in a professional manner, listen to the client’s needs and direct calls to the appropriate person. • Daily management of conference room calendars. • Open, organize, maintain, scan and close paper and electronic client files. • Process ingoing and outgoing mail daily. • Draft simple legal documents, according to specifications. • Prepare routine correspondence, reports and letters. • Maintain attorneys’ calendars; schedule and follow up on all appointments (i.e., clients, case work, and potential clients). • Support paralegals and when needed, attorneys. • Handle confidential information with discretion • Edit and attend to issuance of bills. • Perform a variety of other tasks as assigned. Requirements • Expert level verbal and written communication skills. • Meticulous attention to detail and proofreading skills. • Strong operational knowledge of or ability to learn standard office equipment including copier, scanner, telephone, postage meter and binding machine. • Extensive technology experience and strong internet skills. • Exceptional organizational skills with the ability to multitask and meet tight deadlines. • Strong understanding of legal terminology or ability to learn. • Able to establish and maintain effective working relationships with clients, co-workers and other professionals. Education and Experience • High school diploma or equivalent. • Prior experience supporting paralegals or attorneys preferred. • Microsoft Word proficiency. Basic Excel skills a plus. Ability to learn computer programs, such as document management software is required.
Responsibilities
The Legal Office Assistant will greet visitors, manage phone calls, and maintain client files. Additional responsibilities include drafting legal documents and supporting attorneys and paralegals.
