JOB OVERVIEW
We are seeking a dedicated and professional Legal Receptionist to join our team. This role is essential in providing excellent customer support and ensuring the smooth operation of our front desk. The ideal candidate will have strong organizational skills, experience in clerical duties, and a friendly demeanor to create a welcoming environment for clients and visitors.
QUALIFICATIONS
- Legal Administrative Assistant diploma/certificate an asset
- Minimum 2 years of legal office experience
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent communication skills, both verbal and written, to interact effectively with clients and colleagues.
- Proficiency in Microsoft 365 and data entry, with a keen eye for detail to ensure accuracy in all documentation.
- Experience with Clio/LEAP Legal Software preferred but not mandatory; willingness to learn is essential.
- A positive attitude and professional appearance are crucial for representing the firm effectively.
- Must maintain strict confidentiality
- Ability to work independently as well as part of a team in a fast-paced environment.

Responsibilities:
- Greet clients and visitors warmly, directing them to the appropriate personnel or resources.
- Manage incoming calls, emails, and correspondence, ensuring timely responses and accurate information dissemination.
- Perform data entry tasks with attention to detail, maintaining accurate records of client information and appointments.
- Assist with clerical duties such as filing, scanning documents, and maintaining organized office supplies.
- Complete basic accounting tasks as needed, including invoicing and payment tracking.
- Support legal staff by preparing documents and managing schedules effectively.
- Maintain the cleanliness and organization of the office to create a professional atmosphere.
- Manage all office operations and vendor relationships
- Handle customer support inquiries with professionalism and empathy, addressing concerns promptly.
