JOB DESCRIPTION

Easy Lemon is seeking a Legal Receptionist to provide administrative and client support for our Intake Team. This role serves as the first point of contact for potential clients, assisting with inbound inquiries, scheduling consultations, and ensuring an efficient intake process. The Legal Receptionist will utilize various communication and case management tools to maintain organization and streamline operations.

QUALIFICATIONS & REQUIREMENTS

  • Experience: 1-3 years in a legal, customer service, or receptionist role (law firm or legal intake experience preferred).
  • Technical Skills:
  • Aloware (call management)
  • HubSpot CRM (client records & tracking)
  • Microsoft Outlook & Teams (email & scheduling)
  • OneDrive & SharePoint (file management)
  • Communication Skills: Strong verbal and written communication skills; professional and empathetic demeanor.
  • Organizational Skills: Ability to multitask, prioritize, and maintain accuracy in a fast-paced environment.
  • Bilingual (Spanish/English) is a plus.
  • Remote Work Setup: Reliable internet connection and ability to work independently in a remote setting.
Responsibilities
  • Client Communication: Answer and manage incoming calls, emails, and chat inquiries via Aloware, HubSpot, and Microsoft Outlook, ensuring professional and timely responses.
  • Pre-Screening & Intake Support: Gather preliminary client information, assess case eligibility, and direct qualified leads to Intake Specialists.
  • Appointment Scheduling: Coordinate and manage consultation appointments using Microsoft Outlook Calendar and Teams.
  • Data Entry & Record Keeping: Maintain and update client records in HubSpot CRM, ensuring accuracy and organization of case details.
  • Follow-Up & Case Management Support: Assist with outbound follow-ups through Aloware to collect missing documents, confirm appointments, and provide case status updates.
  • Document Management: Organize, store, and manage case-related files using OneDrive and SharePoint.
  • Internal Coordination: Work closely with the Intake Team, attorneys, and operations staff to ensure smooth case progression and intake workflow.
  • Administrative Support: Provide additional administrative assistance to optimize intake operations.
