Description

McDonald Carano LLP is seeking a Full-Time Legal Records Clerk to join our Trust & Estates Practice Group team. Our firm has two office locations, in Reno and Las Vegas, supporting Nevada’s business law needs since 1949.
The ideal candidate will have a strong commitment to accuracy, responsiveness, the ability to manage confidential information with discretion, and excellent organizational skills. This role is essential for maintaining the integrity of our legal records as well as supporting legal support staff and attorneys in a large estate planning practice in their daily operations.

SKILLS AND QUALIFICATIONS:

  • 2+ years of experience as a file clerk. Prior work in a legal office, law firm, or a records-related role is preferred.
  • Familiarity with Trusts and Estates law is required.
  • Familiarity with corporate recordkeeping is an advantage.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines of varying urgency.
  • Exceptional attention to detail and commitment to accuracy.
  • Effective verbal and written communication skills, with the ability to work well with others.
  • Positive, dependable, and team-oriented mindset in a fast-paced environment.
  • Motivated critical thinker who understands the importance of asking questions to enhance understanding.
  • Proven ability to handle confidential information with professionalism and discretion.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with document management software is a plus.

Responsibilities
  • File Management: Organize, maintain, and retrieve physical and electronic files. Ensure files are accurately labeled and stored in compliance with firm policies. Assist with performing audits of file rooms and document management systems to ensure records are current and correctly categorized. Scan and save documents into appropriate document management systems. Assist in maintaining CRM client accounts.
  • Mail Processing: Open, sort, scan, and save incoming mail to appropriate electronic folders. Distribute physical mail to the appropriate team members. Prepare and manage outgoing mail, including certified and overnight deliveries, ensuring accurate documentation and timely dispatch.
  • Meeting Preparation: Organize and assemble board meeting materials and other related documents into binders in preparation for annual board meetings. Retrieve and organize client files to give to attorneys in anticipation of client meetings.
  • Record Keeping: Update file tracking systems and maintain an accurate index of documents. Monitor the status of open matters and close files when appropriate.
  • Correspondence Support: Deliver and retrieve files and documents to and from attorneys, paralegals, and other team members as requested.
  • Confidentiality Compliance: Handle all files and records with the utmost confidentiality and sensitivity to safeguard client privacy.
  • Collaboration: Work closely with attorneys, paralegals, and administrative staff to ensure timely access to required documents and files.
  • Miscellaneous: Assist attorneys and legal support staff with ad-hoc administrative tasks, such as data entry.
