  • Previous experience working in a busy legal environment as a Legal Secretary or Assistant.
Responsibilities

LEGAL SECRETARY ROLE:

We are excited to recruit for a professional and highly organised Legal Secretary, who has a minimum of 12-months experience within a legal department, to join our Stamford team. This role primarily supports the Private Client department, with additional legal support across family and international law.
This is a part-time (22.5 hours per week) permanent position based in our Stamford office. Ideally the working hours will be completed over 3 full days (7.5 hours per day) and we are flexible on the working days across Monday - Friday.

PURPOSE OF THE LEGAL SECRETARY ROLE:

  • Provide seamless legal support to clients and assist a team of lawyers and secretaries with day-to-day tasks.
  • Provide ad-hoc personal administrative support to the team and offer coverage for other support areas during holidays or absences.
  • Open and maintain up-to-date client information in the document management system (Elite), ensuring changes in client information are reflected.
  • Conduct conflict and Legal ID checks and perform internal audits to ensure compliance with AML and SRA regulations.
  • Handling all incoming mail, ensuring timely upload to the document management system, and managing outgoing mail, including arranging recorded or special delivery when necessary.
  • Efficiently managing the closure and archiving of files within the document management system, ensuring strict adherence to internal policies and accurately updating the external storage provider’s database.
  • Generate and process invoices and credit notes, ensuring timely delivery to clients.
  • Prepare BACS and Telegraphic Transfer (TT) payments.
  • Complete monthly expense reports and log the team’s Business Development activities.
  • Sending receipts to clients for card payments.
  • Efficiently manage diaries and emails, arrange conference calls, book meeting rooms, and coordinate catering through internal systems.
  • Maintain communication with internal and external contacts, ensuring Heads of Department (HODs) are informed of key matter
