MINIMUM QUALIFICATIONS
High school diploma or GED; supplemented by six (6) months of previous experience and/or training that includes general administrative and clerical responsibilities required; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
PURPOSE OF CLASSIFICATION
The purpose of this classification is to provide direct clerical and procedural support to the Domestic Relations Director, Assistant Direct, Supervisors and Officers of the Court, The Presiding Judge and his/her Court Staff, and other Court departments as required. Duties and responsibilities include, but are not limited to: case processing within the Domestic Relations Division, between other Pennsylvania Counties and between various Beaver County Court Departments, Beaver County Jail and The Beaver County Sheriff’s Department with work/office related functions, assisting with all general office functions.
THE FOLLOWING DUTIES ARE ROUTINE FOR THIS POSITION. THESE ARE NOT TO BE CONSTRUED AS EXCLUSIVE OR ALL-INCLUSIVE. OTHER DUTIES MAY BE REQUIRED AND ASSIGNED.
Performs customer service functions in person, by telephone, fax or by e-mail; provides information or assistance regarding court services, activities, forms, procedures, fees, or other issues; responds to routine questions from other staff, outside agencies, the public, Attorneys or other individuals as necessary; provides information accordingly; refers complaints/problems to appropriate Supervisors; Discern information that is able to be provided to requesting parties and attorneys based on FTI data requirements set forth by BCSE. Determine information provided to the parties is in the proper format based on FTI protocol and does not violate regulations. Identify verification is properly formatted and does not violate security, confidentiality or FTI requirements.
Inputs and processes Child Support and Paternity complaints, dispositions, judgments and correspondence in the Pennsylvania Automated Child Support Enforcement System (PACSES); ensures that information is accurate and complete; updates and/or makes corrections as necessary to case information; processes documentation within designated timeframes and per established procedures; maintains confidentiality of all information as required; schedules conferences and hearings for cases as required by the rules of court and State and Federal laws; prepares subpoenas as requested; apprises all parties of changes in event scheduling, works in collaboration with the Bureau of Child Support Enforcement (BCSE), Beaver County Court and other offices; Correspond with Attorney’s for reschedules of Conferences and Hearings.
As Domestic Relations is its own docketing agency, the Court Clerk is responsible for docketing and imaging of all required case information for proper retention per the Records Retention Schedule and Guidelines.
Keep apprised of changes in equipment and software; learns new programs and uses various computer software in the preparation of documents, case tracking and maintenance; attends all meetings and trainings as required.
Types, drafts and prepares various correspondence to include letters, memoranda, reports and other documents; reviews information for accuracy and completeness; makes corrections and/or additions as needed; maintains copies for departmental files and future reference.
Accepts and receipts payments of various payment methods for Child Support and other required fees; input information about payments into proper cases; reconciles cash drawer, uses Kidstar system to extract info from Pennsylvania State Collection Disbursement Unit (SCDU) as required.
Assists with the closing, boxing, archiving and/or purging outdated files in accordance with relevant rule, law and procedures setting forth record retention schedules.
Utilizes various office equipment such as personal computer, fax machine, photocopier, and other equipment as necessary to perform daily duties such as scanning and e-mailing; notifies Office Manager of any necessary maintenance and repair needs; keeps apprised of changes in equipment.
Notifies Office Manager of any need for office supplies, postage and other necessities; Receives incoming mail, UPS parcels, and overnight packages; opens, sorts and distributes to appropriate individuals; prepares certified letters and outgoing mail.
