LEGAL SECRETARY / RECEPTIONIST- WELLINGTON

Join a professional team where your organisation skills and people-first attitude will make a real difference.
We’re looking for a friendly, proactive, and highly organised Legal Secretary/Receptionist to become a key part of our client’s well established team. This is more than just a front-desk role - you’ll be right at the heart of the daily workings of a busy regional law firm, helping things run smoothly behind the scenes and providing a welcoming experience for every client who walks through the door.

WHAT WE’RE LOOKING FOR:

You’re someone who thrives in a busy, people-focused role. You know how to juggle multiple tasks without letting anything slip, and you take pride in getting the details right. You’re confident using Microsoft Office and comfortable learning new systems, and ideally you’ll have experience in a legal or professional services environment.
Above all, you bring a positive attitude, a calm approach under pressure, and a genuine commitment to delivering excellent service -both to clients and your team.
If you think you could be a good fit for this role, please do apply, or Legal Secretary / Receptionist

Responsibilities

WHAT YOU’LL BE DOING:

This is a varied role that combines legal admin and reception duties. You’ll be the first point of contact for many of our clients, while also keeping things running efficiently behind the scenes. Your day-to-day will include:

  • Greeting clients and professionals in person, by phone, or by email - always with a helpful and professional manner.
  • Supporting our legal team with administrative tasks: preparing correspondence and legal documents, managing diaries, booking appointments, and taking meeting notes.
  • Using software such as Microsoft 365 (Word, Outlook, Excel) and our case management system to keep everything organised and up to date.
  • Handling incoming and outgoing post, managing reception and meeting rooms, and helping colleagues with printing and photocopying as needed.
  • Keeping an eye on the little things - like ordering stationery and keeping supplies stocked - that keep the office ticking along.
  • Taking part in firm-wide marketing and feedback processes, and assisting with billing and financial procedures to ensure everything balances out.
  • Pitching in to support your colleagues -covering holidays, helping across departments, and being someone the team can count on.
  • Staying on top of training and compliance requirements, and always upholding the firm’s values, including a commitment to equality and professionalism.
