JOB DESCRIPTION

  • Provide administrative support to conveyancers, paralegals, and other legal professionals in the team.
  • Draft, review, and proofread legal documents such as contracts, transfer deeds, and completion statements.
  • Prepare and maintain accurate files and documentation for property transactions, including sale and purchase of properties, remortgages, and leasehold matters.
  • Liaise with clients, estate agents, and third parties to ensure all parties are kept informed and up-to-date on the status of transactions.
  • Coordinate the exchange of contracts and completion dates, ensuring timelines are met and documents are filed correctly.
  • Handle general correspondence, emails, and phone inquiries related to the conveyancing process.
  • Manage appointments, meetings, and deadlines to ensure all tasks are completed on time.
  • Ensure compliance with legal regulations and office policies related to conveyancing matters.
  • Assist with the preparation of invoices and billing for clients.

QUALIFICATIONS AND SKILLS:

  • Previous experience as a Legal Secretary, preferably in a conveyancing or property law setting.
  • Strong knowledge of conveyancing procedures and terminology.
  • Excellent communication skills, both written and verbal, with a client-focused attitude.
  • High attention to detail and accuracy in document preparation and data entry.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal case management software.
  • Ability to work independently, prioritize tasks, and manage time effectively in a fast-paced environment.
  • A proactive, positive, and approachable attitude, with a willingness to support the team.
  • Strong organizational skills and the ability to manage multiple files simultaneously.
