OVERVIEW

Paytons Solicitors LLP is a well-established high street firm of solicitors based in Malvern Link.
We are looking for a legal secretary to join our busy and friendly residential property team.
The department is made up of two property lawyers and a paralegal who is on the CILEX path. We use digital dictation which works very well. We have just made the move to Leap as our case management system and for all things conveyancing (searches, post-completion requirements) we use InfoTrack. Training in our systems will be given of course, but it is important that only experienced persons apply (by experienced, we mean in conveyancing procedures and terms etc).

Responsibilities
  • Provide comprehensive administrative support to the property fee-earners.
  • Draft transfers, epitomes, letters, emails from dictation and deal with file opening, closing and all post-completion requirements at Land Registry/HMRC.
  • Manage calendars, schedule appointments, and coordinate meetings using Outlook.
  • We try to be as paper-lite as possible, but aren’t quite ready to go paper-less so there would be the usual keeping the paper file in order, filing away documents and the files at the end of your day.
  • Scanning of incoming post is dealt with by another assistant at the firm, but there may be some of this and ensuring the documents are placed into the correct file on our case management system and then on the paper file (if necessary - remember, we’re trying to be paper-lite!).
  • Communicate effectively with clients, colleagues, and external parties to facilitate case progress. This includes drop-ins (if our receptionist is busy) and taking ID, scanning in/copying etc.
  • Handle incoming calls, providing updates (protect the fee-earner’s time), pass messages on, transfer calls to colleagues.
  • Strong organisational skills. Ability to multitask.
  • Time management skills.
  • Good written and verbal communication abilities.
  • Attention to detail.
    The role is advertised as a full-time position but depending on your experience we may be able to accommodate someone who would prefer to work part-time. There is also the possibility of flexibility on hours, but we cannot offer remote-working for this role. For the right person, we are willing to think outside the box.
