ABOUT THE ROLE
We are currently looking for a proactive, highly organised, service focused individual to fulfil a crucial role overseeing the administrative function for our Residential Property team, a highly collaborative and growing team.
ROLE PURPOSE:
Based in either Cheltenham or Cambridge and reporting to the Heads of the team you will be responsible for the day-to-day management of administrative support to fee earners in the team, regularly liaising with heads of team and other stakeholders. You will oversee the team’s workflow and ensure a consistent approach across the team. You will have responsibility for managing/coordinating key business processes and projects, such as Lexcel and CQS Assessments.
RESPONSIBILITIES OF A LEGAL SUPPORT MANAGER INCLUDE:
- Oversee the administrative function for the residential team
- Co-ordinate business projects such as the annual Lexcel Assessment and CQS Assessments
- Have an active role in the adoption and implementation of new technology and systems, and supporting with the delivery and improvement of new process.
- Identify ways in which systems and processes can continue to be improved and present ideas to the heads of team.
- Undertake speculative file audits ensure files are Lexcel and CQS compliant and best practice is being followed
- Responsibility for recruitment, induction and training of new Legal Support Assistants. Ensuring all their objectives/appraisals are completed.
- Communicate with the team about mandatory training (including CQS) and monitor to ensure this is completed within deadlines
- Coordinate the review of End of year- WIP balances
- Ensure file audits are carried out by the required deadline and check post completion reports (from Redbrick) to ensure all AP1s are submitted on time
- Monitor office billing to ensure monthly billing targets are achieved
- Ensure teams progress monthly housekeeping to keep on top of file closures/balances and backlogs do not build up. Regularly monitor residual balances, compliance and file closings and report into the heads of team as appropriate
- Responsible for overseeing compliance across the team, including ID & AML, gathering source of wealth & funds documentation and risk assessment forms.
ABOUT YOUAs a Legal Support Manager you will have:
- Experience within a legal environment / professional services environment
- A proven track record of supervising team members.
- Strong legal administration experience
- Experience in case management systems such as SOS and Redbrick
- Sound knowledge of IT skills in Microsoft Office, Outlook, Word, Excel and Teams, Zoom, etc.
- The desire for continuous learning and professional development and a strong ability to deliver solutions to problems.
- A driving license or the ability to travel to other office locations as required.
