Description

Property Circle, a prestige letting agency, are looking for a Lettings Administrator to join their busy team. The ideal candidate will be friendly and confident, with good attention to detail and strong organisational skills. Previous experience of dealing with high-profile clients within the letting industry would be beneficial, but training could be provided.
The role:

Reporting to the Branch Manager, as the Lettings Administrator you will be responsible for the following:

  • Answering enquiries by phone and email
  • Registering applicants
  • Matching applicants with properties based on their requirements
  • Sending out property details to applicants
  • Booking viewings

Administration duties including, but not limited to:

  • Entering tenants’ details onto relevant internal systems, and ensuring records are kept accurate and up to date
  • Forming tenancy paperwork
  • Attend training courses arranged by the company to stay up-to-date with legal requirements
  • Conducting, chasing and checking referencing
  • Filing
  • Handling the Notice to Quit process from tenant contact point through to agreeing end of tenancy intentions with landlords and processing tenancy renewals where necessary.
  • Ensuring the process for tenants from the point of securing a property until move-in is smooth and efficient
  • Keeping utility companies informed with tenancy start and end dates, and chasing up any discrepancies
  • Working to agreed deadlines and reporting on daily results to the Branch Manager
  • Liaising directly with the Landlords, Tenants, Contractors, and Third Parties such as referencing and utility companies
  • Arranging any necessary property maintenance work, seeking Landlord approval where needed
