LETTINGS ASSISTANT

The Deanery is looking to appoint a Lettings Assistant to work at The Deanery CE Academy in Swindon (SN1 7DA) situated in the heart of the community of Wichelstowe. Salary range: £12.57 - £12.85 per hour

JOB DESCRIPTION

Job title: Lettings Assistant
Role reports to: Lettings Manager
Job Purpose: To provide excellent customer service to clients and manage the premises whilst lettings are underway.
Maintain cleanliness and security, resolving issues and act as the on-site first point of contact for external clients who hire facilities.
Developing strong relationships with clients to support the development of the business

Key Accountabilities:

  • Meet and greet clients; answer questions/queries
  • Ensure all equipment is in working order and in place for lettings
  • Ensure all bookings run to plan
  • Clean used areas
  • Ensure clients abide by booking rules, ie, no smoking, no alcohol etc
  • If necessary, lock up and secure the building at the end of the booking period
  • Record and report any damage or maintenance issues
  • Feedback any issues from the booking or the clients
  • Support Risk Assessments – create or amend where necessary
  • Will be a keyholder for the Campus and as such be onsite and possibly working alone in conjunction with our Lone Working policy.
  • Willingness to be first aid trained, fire marshal trained and safeguarding and Health & Safety aware.
  • In conjunction with the Centre Manager and/or Assistant Centre Manager, ensure all events are prepared, managed and equipped.
  • Ensure all bookings are operated to the highest appropriate standards
  • Support the team with regards to set up and clearing away of facilities e.g. furniture, catering, access, locking up, tidying away.
  • Under the direction of the Centre Manager, undertake any responsibilities needed across the Campus as and when required during quieter periods.

Contacts and relationships:

  • Manage relationships with existing stakeholders and/or groups that use the facilities
  • Develop community partnerships, including church groups, sports clubs, local groups, charities and residents’ associations
  • Work with the Premises team to prevent and rectify any facility issues
  • Working with the Campus to support the encouragement of activities for the younger students and staff members through shared activities and taster sessions.
