Job Description Job Summary: The Liaison Associate is responsible for handling external transactions and coordinating with government agencies, suppliers, and business partners on behalf of the company. This role ensures timely processing of permits, licenses, documents, and other administrative requirements needed by various departments and store operations. Essential Responsibility and Function: The Operations Admin Associate will be in charge of the following: Process permits, business registrations, renewals, and compliance documents (e.g., business permits, sanitary, fire safety, barangay clearances). Coordinate with LGUs, BIR, SSS, PhilHealth, Pag-IBIG, and other regulatory agencies. Ensure all documents are submitted, claimed, and renewed on time to prevent penalties. Handle the submission, pick-up, and delivery of official documents, checks, and correspondences. Assist in processing requirements for new store openings, renovations, and compliance inspections. Coordinate with malls, landlords, and partners regarding requirements or documentation needs. Support operations by resolving on-ground concerns related to permits or compliance. Maintain an updated tracker of all permits, deadlines, and release dates. File and organize documents systematically for easy retrieval. Support the Admin/Supply Chain/Operations team with ad-hoc tasks needed for smooth workflows. Liaise with suppliers for document signings, deliveries of official papers, or contract routing. Assist with notarization, contract submissions, and other legal documents. Maintain accurate logs of all documents received and dispatched. Safeguard confidential documents and ensure proper handover to concerned personnel. Qualifications Job Requirements: Bachelor’s degree in Business Administration, Operations Management, Office Administration, or a related field. At least 1–2 years of experience in an administrative or operations support role (experience in F&B or retail is a plus). Experience in liaison work, administrative support, or field processing roles is an advantage. Familiarity with government agencies and regulatory requirements is a plus. Must be willing to do on-ground fieldwork and travel to various branches and agencies. Good communication, organizational skills, and attention to detail. Must be trustworthy, responsible, and able to handle sensitive documents. Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
