JOB SUMMARY

We are seeking a Life Licensed Administrative Assistant to join our growing team. This is a unique role for someone who is detail-oriented, client-focused, and eager to contribute to a collaborative environment. As part of a small but dynamic team, you will play a key role in supporting our advisors and ensuring our clients receive an exceptional service experience. This position is full-time and on-site at our office in Kanata, ON.

QUALIFICATIONS

  • Must hold a valid LLQP licence (Life Licence Qualification Program)
  • Minimum 2 years of experience in life insurance administration or financial services
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems is essential.
  • Experience with clerical duties including filing, scheduling appointments, and managing correspondence.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Exceptional customer service skills with the ability to communicate effectively both verbally and in writing.
  • Excellent time-management skills with high attention to detail
  • Excellent communication and interpersonal skills
  • Ability to work independently while thriving in a team-based culture
  • Experience with clerical duties including filing, scheduling appointments, and managing correspondence.
Responsibilities
  • Provide exceptional customer support and service at the front desk, greeting visitors and answering inquiries.
  • Manage multi-line phone systems, demonstrating effective phone etiquette while handling calls.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Process life insurance and wealth applications, policy changes, and servicing requests
  • Maintain accurate client records and compliance documentation
  • Liaise with investment and insurance carriers as well as underwriting teams to track and follow up on cases and new business
  • Prepare client meeting packages and assist with presentation materials
  • Provide administrative support to advisors for day-to-day client needs
  • Ensure all activities comply with industry regulations and internal standards
  • Assist in co-ordinating client communications, including emails, scheduling, and follow-ups
  • Assist with management of office environment
  • Maintain confidentiality of sensitive information while adhering to company policies.
