Description Position Purpose and Summary: The Loan Administrative Assistant is generally the first person most people will see when they enter the loan department of the Bank, so it is important to be friendly, courteous, and professional. Under direct supervision of the Loan Officer, this position provides administrative and secretarial support for the officer and the loan department. Interactions with a diverse group of people throughout the day when accepting phone calls, assisting clients in the office, mailing or emailing important information or documents, as well as internal contact at all levels within the Bank, call for good communication skills, discretion and respect on the part of the Assistant. It is not uncommon for an assistant to be performing several jobs at one time. Constantly having to stop one job in order to do another, and having the ability to pick up and satisfactorily complete each task in a timely manner calls for excellent organizational skills and multitasking capabilities. Main Duties and Responsibilities: Provide the highest level of service. Greet every customer with a warm welcome and a smile. Assist customers in determining their needs; possibly answering questions, both in person and on the phone about their existing loans, deposit accounts or providing information on new products Answer phone calls directed to loan officer or the loan department in general. Provide administrative support and assistance for all aspects of the lending process Collect all necessary customer information for loan process, ensuring that loan application are complete, pulling credit report, gathering financial information, NADA reports, etc. prior to inputting data into system Collect pledged security instruments, prepare documentation and file with appropriate authority for recording in order to perfect lien Prepare all loan documents and close loan in accordance to policy and procedures as requested by loan officer Arrange loan files to ensure proper order and accuracy of documents, verifying that all documents have been properly executed Digitize and maintain loan documents along with documentation for pledged securities Type, mail and arrange Adverse Action documentation Maintain and apply knowledge of current lending policies, procedures, and regulations Notary duties Promote bank products or services Refer customers to appropriate bank personnel for products or services not offered in loan department Keep desk/area secure and clean at all times Report any discrepancies or suspicious activity Train new loan assistants Involvement in community events and/or civic organizations Other duties as assigned Requirements Qualification Requirements: High school diploma or equivalent Background check must be passed Perform basic math functions Ability to read and interpret policies, procedures, memorandums, etc. Ability to present oneself in an appropriately clean professional dress and manner Provide courteous, knowledgeable and professional customer service both in person and on the phone Excellent organizational skills and multitasking capabilities Assume responsibility, display initiative, and exercise good judgment Display an ability to remain attentive and discreet Ability to work cooperatively with others as part of a formal or informal teamto accomplish Bank goals; to respect the needs, ideas, and contributions ofothers Working Conditions and Hours: Loan Assistants are typically stationed at a desk outside of the Loan Officer’s office, and in close proximity to other Loan Assistants. Most work directly under one or two Loan Officers, but are expected to assists any Loan Officer or Assistant when needed, thus calling for the ability to display excellent work ethics, both independently and as part of a team. Loan Assistants work approximately 40 hours per week, Monday-Friday, with occasional overtime. Rotational work on Saturdays in the Teller position, 8:30 a.m. to 12:30 p.m. is included in the job duties and days are scheduled well in advance for preparation and convenience.
