Description The Loan Officer Assistant (LOA) provides administrative and coordination support to assigned lenders to ensure timely, complete, and compliant loan file intake and progression through underwriting and closing. The LOA is responsible for borrower communication, document collection, disclosures, and condition tracking, but does not perform credit analysis, draft loan documents, or book loans. Requirements Responsibilities: Loan Intake & File Setup Receive loan requests from lenders and establish loan files in the loan origination system (LOS) Assist with collection of applications, borrower financials, tax returns, and entity documentation Ensure all required intake items are complete prior to underwriting submission Maintain standardized intake checklists for all loan types Borrower & Internal Coordination Serve as primary point of contact for borrowers on documentation and status updates Coordinate with lenders, credit analysts, portfolio managers, and loan operations staff Track and follow up on outstanding underwriting and closing conditions Compliance & Disclosure Prepare and deliver initial disclosures and Loan Estimates within required timelines Monitor and track TRID disclosure timing and document compliance Escalate timing or disclosure issues immediately to management Comply with and adhere to all Bank Secrecy Act (BSA) and Anti-Money Laundering/Counter-Terrorist Financing (AML/CFT) requirements, including: Customer Identification Program (CIP) Customer Due Diligence (CDD) and Enhanced Due Diligence (EDD) Currency Transaction Reports (CTR) Suspicious Activity Reports (SAR) Office of Foreign Assets Control (OFAC) and sanctions monitoring File Management & Quality Control Maintain accurate and current loan files Ensure documentation is uploaded, indexed, and properly labeled Support post-close document requests as needed Maintain confidentiality of customer and bank information at all times. Operational Support May serve as backup to other LOA’s or loan operations staff when necessary Performs other related duties as assigned to support loan operations and customer service objectives. Required Skills & Abilities Strong organization and time management skills with the ability to manage multiple loan files simultaneously and meet firm deadlines High attention to detail and accuracy in document collection, file setup, and condition tracking Clear and professional verbal and written communication skills for borrower and internal team interactions Ability to follow standardized processes and checklists without deviation Working knowledge of loan documentation requirements and lending workflows Ability to understand and comply with regulatory timing requirements, including TRID disclosures Proficiency in loan origination systems, document imaging systems, and standard office software Ability to prioritize tasks in a fast-paced, deadline-driven environment Sound judgment to recognize issues and escalate concerns promptly to management Ability to maintain confidentiality of sensitive borrower and bank information Behavioral Expectations Demonstrates integrity, professionalism, and ethical conduct in all interactions. Education and/or Work Experience Requirements High school diploma or equivalent required; associate degree preferred 2+ years of loan processing, loan assistant, or banking operations experience Working knowledge of consumer, commercial, and/or mortgage lending process Strong organizational and communication skills Experience with loan origination systems preferred Completion of required internal and online training programs Physical Requirements & Working Conditions Work is performed in a typical branch office environment with minimal exposure to noise, heat, dust, or other discomforts. Position involves routine interaction with the public. May be exposed to potentially hazardous situations such as robbery; training and procedures are provided to minimize risk. Ability to operate standard office and banking equipment.
