Description Purpose This Service Level Agreement (SLA) outlines the responsibilities, performance standards, and accountability expectations for the Traditional Loan Officer Assistant (LOA Type 1). The purpose of this agreement is to ensure consistent service levels, communication standards, and operational excellence between Loan Officers (LOs), borrowers, and the operations team. Role Overview The Traditional LOA Type 1 provides direct support to assigned Loan Officers to ensure timely, accurate, and compliant loan origination. This includes managing communication, assisting with loan setup, coordinating documentation, and ensuring files are complete and ready for processing and disclosure. The LOA Type 1 plays a key role in maintaining SLAs for submission, disclosure, and closing timelines through proactive communication, accurate file setup, and collaboration with both sales and operations teams. Core Responsibilities Collect and review borrower documents, ensuring completeness and compliance with company policies and regulatory requirements. Enter loan data into the loan origination system (LOS) accurately and timely. Prepare and organize loan files for submission to processing, including reviewing disclosures, verifications, and supporting documents. Perform junior processing duties, such as: Ordering and reviewing credit reports, appraisals, and title commitments Verifying employment, income, and assets Reviewing loan conditions and ensuring documentation meets underwriting requirements Assisting in preparing closing documents and disclosure packages Monitor loan pipeline to ensure deadlines are met and communicate status updates to Loan Officers and team members. Provide general support to the mortgage team & branch operation manager as needed, including assisting with follow-ups, loan updates, and document requests. Business Development Support Contacts business partners to set up meetings and maintain relationship pipelines. Distributes approved marketing materials on behalf of assigned Loan Officers. Manages assigned LO’s technologies, CRM systems, and lead-tracking tools. Administrative & Communication Management Answers phones, monitors shared inboxes, and screens emails for assigned LOs. Provides prompt borrower communication and ensures responsiveness within regional SLA standards. Tracks loan status updates and ensures both borrower and LO are informed at all major milestones. Loan Setup & Documentation Assists the Loan Officer with collecting required documentation. Uploads and inputs borrower data and documents into Encompass once the LO has initiated the loan. Communicates with the borrower to validate the URLA (1003) and ensure all required income, asset, and liability documentation is complete. Loan Structuring & Submission Assists in structuring loans, running AUS, and submitting “TBD” property scenarios. Reviews loan applications and supporting documents for completeness and accuracy prior to submission. Ensures all files are ready for disclosure at the time of submission to processing. Disclosure & Compliance Obtains executed disclosures within required regulatory timeframes. Works with the disclosure desk to ensure fees are accurate and appropriately disclosed. Analyzes credit reports and borrower financials to help determine appropriate loan products. Closing Coordination Reviews Closing Disclosures (CDs) for accuracy and ensures fees and cash-to-close are consistent with borrower expectations. Provides borrower support and communication through closing, addressing any documentation or scheduling needs. Licensing & Product Support If licensed, may answer borrower inquiries involving rates and product options within compliance parameters. Supports the branch by maintaining product knowledge and assisting with program research as requested. Requirements Minimum 2 years Mortgage Experience Valid Driver's License Encompass Knowledge Income Calculation Knowledge Physical Requirements The Traditional Loan Officer Assistant (Type 1) position is classified as a general office worker role. May involve hybrid or remote work as approved. Physical Activity: Prolonged periods of sitting at a desk and working on a computer.
