QUALIFICATIONS

  • High school diploma required; additional education highly preferred
  • Typing speed: minimum 45 WPM
  • 1–3 years clerical or secretarial experience preferred (will train the right candidate)
  • Proficient in Microsoft Word, Excel, and related software applications
  • Highly detail-oriented and organized
  • Strong multitasking and time management skills
  • Ability to manage multiple responsibilities simultaneously
  • Knowledge of agriculture is a plus
Responsibilities

DIFFICULTY & COMPLEXITY OF DUTIES

This position performs a wide range of clerical and analytical tasks associated with the Corporation’s activities, with an emphasis on preparation of loan documentation. A very high level of accuracy and attention to detail is required due to the legal nature of the documents that are handled and/or prepared. The employee must be organized, resourceful, and capable of establishing an effective follow-up system for loan and security documents. Mistakes in legal documentation can have serious implications for the Corporation’s legal standing regarding collateral and loan security. A thorough understanding of the processes for obtaining and perfecting security interests in real and personal property is essential. The ability to work cooperatively with others is also critical.

DIRECT OR FUNCTIONAL SUPERVISORY RESPONSIBILITIES

This position does not have supervisory responsibility for other employees. It reports directly to management.

Document Management & Administrative Duties

  • Maintain electronic and paper loan files; scan and archive documents
  • Coordinate with Operations Manager to order legal forms
  • Review and proof all updates before printing
  • Track grain and stock tallies; manage customer mailings
  • Coordinate shredding and off-site storage for closed files
  • Assist with updates to internal manuals, credit procedures, and legal documentation processes
  • Serve as back-up for debenture program administration and note custody responsibilities
  • Support credit officers and management with administrative tasks as requested
  • Maintain confidentiality and handle sensitive information professionally and securel

Additional Duties

  • Maintain confidentiality of borrower and corporate information at all times
  • Assist other team members as needed during peak workloads or absences
