Logistics, Import & Export Coordinator
Shipping _ Customs Clearance Documentation _ Transportation
Job Summary
Responsible for coordinating and monitoring import and export shipments, customs clearance, shipping documentation, regulatory approvals, container movements, and transportation activities. The role ensures shipments are processed efficiently, documents are complete and accurate, and operational follow-up is maintained from shipment planning through final delivery and container return.
Key ResponsibilitiesExport Shipments
· Arrange Bills of Lading (B/L) and coordinate Telex Release with shipping lines and freight forwarders.
· Check, verify, and receive invoices related to export shipments.
· Apply for Chamber of Commerce Certificate of Origin (COO).
· Coordinate and follow up on export shipment customs clearance.
· Prepare, verify, and arrange all required export documents, including Commercial Invoice (INV), Packing List (PL), Certificate of Origin (COO), and Shipping/Bill of Lading documents (SBL/B/L).
· Coordinate with shipping lines, freight forwarders, customs brokers, and other relevant parties to ensure timely shipment processing.
Import Shipments
· Coordinate and follow up on import shipment customs clearance.
· Maintain and update the Estimated Time of Arrival (ETA) for all import shipments.
· Apply for and arrange Delivery Orders (DO) for incoming shipments.
· Apply for MOFAIC attestation for import shipment documents, as required.
· Apply for customs duty exemption for eligible import shipments.
· Prepare, check, and maintain all import documentation, including invoices, packing lists, certificates, shipping documents, and clearance-related documents.
· Check, verify, and receive invoices related to import shipments.
· Coordinate with shipping lines, freight forwarders, customs brokers, suppliers, and relevant authorities to avoid delays in clearance and delivery.
· Maintain accurate records and filing of all import and clearance documentation.
Container & Shipment Monitoring
· Follow up on shipments and containers throughout the logistics process.
· Monitor containers from gate-out until gate-in / empty container return, ensuring timely movement and return.
· Follow up with transporters and concerned parties regarding container status.
· Monitor shipment delays and take necessary follow-up actions to minimize demurrage, detention, and other additional logistics costs.
· Maintain accurate shipment status reports and provide regular updates to management.
Transportation
· Monitor and coordinate the activities of the Transport Department.
· Arrange transportation for import and export shipments as required.
· Coordinate container pickup, delivery, and return schedules with transporters.
· Follow up with drivers and transport providers to ensure timely collection and delivery.
· Monitor transportation activities and resolve operational issues or delays.
· Ensure effective coordination between the transport team, warehouse, shipping lines, freight forwarders, and customs clearance team.
Documentation & Reporting
· Maintain complete and accurate records for all import and export shipments.
· Update shipment tracking reports, ETA schedules, clearance status, delivery status, and container return information.
· Verify logistics-related invoices and supporting documents before submission for further processing.
· Ensure all shipping and customs documentation complies with applicable company procedures and regulatory requirements.
· Provide regular reports on pending shipments, clearance status, transportation activities, and outstanding documentation.
