Job Title: Logistics Coordinator
Location: Fletcher, North Carolina (Asheville Area). This is an on-site position which may have opportunities for limited local telework.
Department/Division: CREW, Eastern Division
Status: Regular, Full-Time, Salaried (Exempt) - The scope and schedule of this position may shift according to seasonal work volume. The position may experience seasonally reduced schedule or a temporary shift to part-time status, depending on project needs.
Schedule/Hours: 40 hours/week, Monday - Friday. Flexible hours, expected to be on duty during ACE Core Business Hours of 12:00 pm - 5:00 pm Eastern time). Some adjustment of hours is expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.

EASTERN DIVISION PROGRAM SUMMARY:

ACE’s Eastern Division provides young adult volunteer AmeriCorps crews to carry out a variety of environmental conservation projects on lands east of the Mississippi River, with occasional projects farther west. The Crew model focuses on professional development, training, and skill development for early-career crew members through delivering high-value conservation work to the land agencies and communities where we work.

POSITION SUMMARY:

The Logistics Coordinator position for ACE Eastern is an office/warehouse-based position responsible for supporting ACE field crews and support staff by overseeing the vehicle fleet, coordinating food and provisions for crews in the field, and supporting maintenance of office, housing, and warehouse facilities. This position works closely with the Field Operations team and national program staff to ensure appropriate vehicle inventory, maintenance, reporting, and scheduling. The Logistics Coordinator leads efforts to provision food, supplies, and camp equipment for crews in the field. This position helps train crew members in routine vehicle operations, trains new drivers for all types of fleet vehicles, and monitors and reports on vehicle tracker data. Depending on the skills and interests of the candidate, future growth may include increased responsibilities for vehicle work, facility maintenance and repairs, or warehouse and equipment maintenance. The Logistics Coordinator must show empathy and support for young adult crew members as they encounter new challenges, seek support, and develop their technical and interpersonal professional skills.

CREW PROVISIONS:

The Logistics Coordinator is responsible for ensuring the meal packing program for the division operates smoothly. The Logistics Coordinator oversees all aspects of planning, purchasing, and providing meal provisions for ACE crews working in the field. This includes:

  • Collaborating with team members to develop nutritious meal plans that are applicable for up to 12 crews based in front country or spike camp situations,
  • Planning meals that are appropriate for the crew’s dietary needs and the project’s location, camp style, and weather or seasonal considerations,
  • Purchasing bulk items and ingredients to facilitate these meal plans,
  • Purchasing food within the budget parameters seeking the highest value for each expenditure,
  • Tracking food purchase costs, waste, and crew member satisfaction with meals,
  • Packing coolers and pantry bins with ingredients and recipes to accompany the crews for multiple weeks of field work,
  • Keeping the food bay clean and organized, while managing safe storage of perishable and non-perishable food,
  • Supporting the maintenance and inventory of cook sets and camp kitchen equipment,
  • As needed, supporting Crew Leaders who are purchasing additional provisions for the crew while out on project.

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Bachelor’s degree and one year of related professional experience. An equivalent combination of education and experience may be substituted for the Bachelor’s degree (AA+2 years or 3 years related professional experience)
  • 1 or more years of experience working in logistics, fleet, and facilities management, or 2+ years developing expertise in one of these areas with interest and ability to learn the necessary skills for the other areas, preferably within a Conservation Corps or similar organization.
  • Working knowledge of young adult development, team-building and motivational techniques.
  • Ability to understand and follow ACE systems and processes including key responsibilities of crew leaders.
  • Computer skills required including professional email etiquette and intermediate knowledge of Google suite or other word processing and spreadsheet programs.
  • Must be flexible and possess a strong work ethic.
  • Ability to maintain a positive, constructive work environment conducive to team performance, maintaining effective working relationships with coworkers and supervisors.
  • Ability to perform work under pressure in a fast-paced environment, manage multiple concurrent responsibilities, and meet deadlines.

Responsibilities

The Logistics Coordinator will oversee a fleet of 15+ crew and staff support vehicles. The primary responsibilities include:

  • Working with the National Director of Program Administration to ensure that vehicles are maintained at the proper intervals, repaired when needed, and correctly documented,
  • Getting work quotes for fleet needs and ensuring timely repairs are achieved,
  • Being onsite during crew de-rigs to offer vehicle support and ensure that crews have performed weekly cleaning and checks of vehicles,
  • Stocking vehicle cleaning supplies and vehicle accessories,
  • Responding to reported vehicle needs,
  • Performing and documenting routine inspections and maintenance of trailers and other fleet equipment,
  • Provisioning vehicles with fleet resources, vehicle trackers, and safety equipment,
  • Monitoring vehicle tracker data and reporting on vehicle use or driver behavior concerns,
  • Managing toll pass accounts,
  • Making recommendations on maintenance and inventory of fleet, including vehicle acquisition and sales,
  • Serving as the primary trainer for drivers of passenger vehicles, large vans, and truck rigs with trailers attached, according to ACE policies,
  • Participating in weekly field operations meetings and cross-division fleet management meetings,
  • Assigning and scheduling vehicles to meet all crew and support staff needs, including ensuring that each crew has an appropriate vehicle for their project needs
